Job Description:

Position Summary:

This role is responsible to administer the on-site tax stamp process to include maintaining tax stamp inventory and stamp usage, tracking stamp changes according to state/jurisdiction requirements and providing accurate and timely reporting to Accounting and Inventory Control leadership.  Also, responsible for supporting the distribution Inventory Control functions.

Here’s what you’ll do: 

  • Act as the primary contact for on-site tax stamp inquiries, tracking, inventory control, etc. and accurately maintain an electronic stamp book. 
  • Maintain spreadsheet to track tobacco tax stamp inventory data, stamp usage, documentation of roll numbers, etc.; ensure accurate information and timely reporting to Accounting to include recording new stamp rolls received, removed stamp inventory for processing, etc. 
  • Track stamp changes according to state/jurisdiction requirements (e.g., image, price, etc.) to maintain compliance with inventory and usage of accurate tax stamps. 
  • Update labels and tracking for new store locations with accurate stamp usage and special instructions. 
  • Update posted State/County/City Licensing when received.  Keep track of posted license expiration dates and contact licensing dept when renewals are needed and not received.
  •  Support the inventory process in the Distribution Center through random audits, cycle counting, physical counts, verification of outgoing product, system data maintenance, etc. to ensure accurate and timely records of product inventory while ensuring compliance to inventory processes and procedures. 
  • Prepare inventory related reports and verify inventory balances/records in the Warehouse Management System (WMS) to identify shortages and discrepancies and research inaccuracies within inventory levels. Adjust inventory records accordingly to maintain accuracy. 
  • Communicate pertinent information and issues (i.e., tax stamp inventory issues, inventory/receiving issues, product damage, etc.) to supervisor(s) in a timely manner. 
  • Additional responsibilities may be assigned as needed.
  • Work with internal departments (Tax, Accounting, Inventory Control, etc.) and external contacts (i.e., states/jurisdictions, customers, etc.) to track and reconcile tax stamp inventory, provide tax filing information, maintain up to date tax stamp changes, and to research and resolve any potential issues. 
  • Support the stamp inventory process in the Distribution Center through random stamp audits, physical counts, verification of outgoing stamps, spreadsheet data maintenance, etc. to ensure accurate and timely records of stamp inventory while ensuring compliance to inventory processes and procedures. 
  • Prepare inventory related reports and verify stamp inventory balances/records. Adjust inventory records accordingly to maintain accuracy. 
  • Communicate pertinent information and issues (i.e., tax stamp inventory issues, inventory/receiving issues, product damage, etc.) to supervisor(s) in a timely manner. 

Here’s what you’ll need: 

  • Associates degree or equivalent combination of education and/or experience. 
  • Two years’ general office experience.  Inventory Control knowledge desired. 
  • Experience with Tax Stamps for states and jurisdictions strongly preferred. 
  • Good written and verbal communication skills.  
  • Must have good math, problem-solving, data entry and attention to detail skills.  
  • Good organization, prioritization and decision-making skills.  
  • Must be able to count inventory and research issues.  
  • Proficient in MS Office (Excel and Word), and ability to learn other system applications.  
  • Ability to work in a team environment as well as independently.  
  • Be able to work within a fast paced, warehouse environment.  
  • Must follow safe working practices in accordance with Company safety policies and practices.  
  • Must be able to work weekends, holidays, day and night hours, and overtime as necessary and as assigned, and must be able to work in the condition specified for 8-10 hours shift.

While performing the duties of this position, employees are subject to a warehouse environment and may frequently be exposed to changes in temperature and humidity based on assignment. The noise level in the work environment is usually moderate to high. Employees must be able to work weekends, holidays, days and night hours, and overtime as necessary and as assigned, and must be able to work in the condition specified for 8-10 hours shift as assigned. Travel requirements vary by assignment.
