Job Description:
Major Responsibilities
Strategic Data & Budget Management
- Maintain and update the Project Information Hub (PIH) and Project Information Matrix to ensure data accuracy and accessibility.
- Coordinate PBAS budget requests and approvals with Finance and other departments.
- Prepare and distribute Growth Pattern Analysis to relevant divisions for strategic planning.
- Support financial issue resolution in collaboration with Finance and provide feedback to the Senior Operations and Response Director.
Information Systems & Reporting
- Lead coordination within the NO Database Working Group to establish and maintain the WVM Information Database.
- Manage reporting schedules and donor information requests in collaboration with PQD Division and Grant Management Team.
- Generate and review management reports, project progress updates, and completion report in line with donor and Support Office (SO) requirements.
- Analyze bi-annual and annual financial reports, highlight key issues, and ensure quality assurance before submission to SOs.
- Maintain NO capacity statements and donor briefing notes.
- Provide weekly prioritized issue alerts to the Operations Director based on consolidated project data.
- Reporting templates are discussed with respective authorized focal person to clarify needs for information and improvement of quality based on previous reports. Inputs are compiled and provided to the respective authorized focal persons.
- Responsible project managers are contacted on a timely basis and provided with relevant templates
- Generate management reports, project progress reports and completion reports as per donor/ SO requirements
- Monitor, follow up and provide necessary support to the programme/ projects
Training & Capacity Building
- Deliver training to Zonal Monitoring Coordinators, External Engagement Coordinators, and Area Programme DMEFs on WV software systems and data management.
- Clarify reporting template requirements with focal persons and ensure timely distribution to project managers.
- Compile inputs and support documentation for stand-alone projects and operational initiatives.
Compliance & Risk Management
- Coordinate block party screening and reporting with the NO Supply Chain team on behalf of the Operations Division.
- Ensure adherence to internal policies, donor requirements, and audit recommendations.
Stakeholder Engagement & Coordination
- Facilitate collaboration across NO departments, Area Programmes (APs), CoPs, Sponsorship, Grant Management, and HEA/Response teams to monitor progress and spending.
- Coordinate internal audit report analysis and follow-up actions with ADPs and departmental coordinators.
- Partner with the Communications Department to review and provide content for reports and publications.
- Liaise with Zonal Managers, TP Managers, and Grant Managers to align reporting and donor communications.
Procurement & Logistics
- Review tender documents and provide feedback for approval by the Senior Operations and Response Director.
- Ensure procurement approvals and committee recommendations align with organizational policies.
- Support bulk purchasing processes in collaboration with the General Services Department and participate in National Office procurement committee meetings.
- Consolidate the Annual Procurement Plan (APP) and assist with POTT preparation.
- Compile strategic sourcing plans across Zonal, Response, Food & Cash, and Grant teams.
KNOWLEDGE, SKILL AND EXPERIENCE
- Bachelor’s degree in development, Business Administration, Operations Management, or related field (master’s preferred)
- Minimum 7 years of total professional experience, including at least 4 years in operations, project coordination, or donor reporting.
- Strong proficiency in data systems, financial reporting, and procurement processes
- Excellent communication, stakeholder engagement, and training facilitation skills
- Experience working in humanitarian, development, or nonprofit sectors is a plus
- Fluent in English and Myanmar
- The position is to be based in NO and travelling to all Area Program (including grant project area) is essential. Minimum twice a year to Area Program is a requirement
- Must be fit to travel to all Area Program Offices across country
- Working experience with World Vision is preferred.
- Experience in M&E. basic financial management are also an advantage
- Knowledge and practical experience on project management, project reporting are essential
