Job Summary:

Join the School of Education as our Office Manager to the Dean and play a key role in supporting our mission to equip future educators and leaders. This role provides administrative support to the Dean of the School of Education and assists with communication, correspondence, planning, scheduling, and budget tasks related to the Dean’s office. Salary:
Pay range $24.90 - $26.89 per hour
Actual salary offered is determined by the candidate’s experience, education, skills, and other factors, including internal equity and university funding resources.

What You’ll Be Doing

  • Perform administrative assistant duties in support of the dean including, but not limited to word processing, scheduling appointments, making travel arrangements, and handling mail.

  • Maintain the SOE dean’s calendar and prepare documents for meetings.

  • Work closely with the Assistant Director of Operations to maintain integrity and consistency of SOE and university procedures, records, and contracts.

  • Coordinate and post the SOE master calendar.

  • Take minutes of the faculty, instructional personnel, and advisory board meetings and post to the shared drive. Distribute meeting recordings through email.

  • Serve as liaison with other university offices and services.

  • Prepare correspondence, reports, memorandums, master calendar, etc.

  • Independently respond to letters, emails, and general correspondence of a routine nature. Responsible for final proofreading of documents. Develop and maintain an annual task calendar.

  • Work closely with the Associate Dean of Teacher Preparation and Advanced Studies to assist in the hiring and onboarding of adjunct and full-time faculty. 

  • Collect all necessary paperwork and upload the new employee information to the university’s database system.

  • Generate adjunct and overload contracts, mailing and receipt of signed contract letters of adjunct faculty for fall, spring, and summer sessions. 

  • Process and maintain adjunct personnel files and records.  Update and activate faculty information in the university’s database.

  • Aggregate and prepare reports on data concerning full-time and adjunct faculty, including tracking time submitted for teaching specific courses that are low-enrolled. 

  • Track faculty productivity for reporting purposes. Collect, record, and submit adjunct timesheets in a timely manner.

  • Prepare payroll documents for each quad.

  • Prepare reimbursement vouchers, requests for payment, travel claims, and other forms on behalf of the dean as needed.

  • Assist dean in maintaining faculty files for the PRT process.

  • Send email communications on Dean’s behalf to instructors and students each quad, and to all new candidates admitted to the SOE.

  • Head the SOE scholarship team – prepare and send out applications, oversee application review and selection process, work with SFS team on awarding of scholarships.

  • Oversee communications with the Advisory Council, including inviting new members to be part of the Council, and sending out correspondence pertaining to semi-annual meetings

  • Work with PLNU bookstore to ensure that all textbook orders are placed in a timely manner before the beginning of each quad.

  • Update mailing lists and database(s) and coordinate large mailings as needed.

  • Compile information and oversee the production of reports as requested.

  • Maintain and respond to email communication through SOEdeansoffice@pointloma.edu address.

  • Make arrangements for faculty meetings and other events; assist in gathering and preparing materials and agendas for said meetings; finalize and distribute the meeting minutes.

  • Work collaboratively, as needed, with other staff in the School of Education to complete tasks that involve more than one program.

  • Establish and maintain detailed School of Education files.

  • Attend administrative detail on special matters assigned by the dean.

  • Maintain an efficient and professional office.

  • Serve as backup receptionist.

  • Arrange receptions and meetings and contact meeting participants as necessary. 

  • Complete accurate reconciliation of dean’s credit cards.

  • Perform other duties as assigned.


QUALIFICATIONS

  • Five years administrative experience; Bachelor’s degree preferred.

  • Ability to type 50 wpm.

  • Computer proficiency, including word processing, spreadsheets, and database management; especially with MS Office Suite.

  • Evidence of Christian commitment and active church involvement. In addition, staff agree to live in agreement with PLNU’s Community Life Covenant.

PHYSICAL REQUIREMENTS

  • Sitting for periods greater than one hour.

  • Use of computer equipment: computer keyboard, mouse, and monitor.

  • Vision to read documents, e-mail and other correspondence, and reports on paper and computer monitor.

  • Ability to communicate effectively with others in person and by phone.

  • Will also stand, stoop, push, pull, and lift up to 10 lbs throughout the day.
