Job Description Summary

Service Stream is seeking a proactive and detail-oriented Management Support Officer (MSO) to provide high-level administrative and operational support to two (2) General Managers within our Utilities business.

This is an exciting opportunity for an experienced administrative professional who excels in a fast-paced environment and can manage multiple priorities with professionalism and discretion.

Reporting Line:                     Executive Assistant to Executive Director Utilities

Key activities for this role include:

Provide proactive and efficient Management Support for two General Managers which includes:

  • Manage and maintaining Outlook accounts. This includes monitoring and prioritising their email and providing effective support in managing their calendars.
  • Coordination and preparing materials for monthly meetings, adhering to corporate cadence and due dates, compiling research and briefing materials as requested and producing presentations (ppt)
  • Attend Sector management meetings, record minutes, and manage action items.

In addition, you would be responsible for coordinating a range of administrative tasks, including

  • Monthly expense reconciliation and reporting
  • Onboarding new starters and contractors (including IT and PPE requirements)
  • Finance administration support (raising purchase orders, invoicing, and vendor setup)
  • Booking travel in accordance with corporate policy

The MSO will also have the opportunity to assist with coordination of various events and workshop coordination across the broader Utilities business, special projects and business initiatives.

You will be the primary point of contact for internal and external stakeholders, including clients, partners, and vendors and you will be critical in maintaining relationships between leadership teams and other business units within Service Stream.

This is an office-based role (QLD, Fortitude Valley), with a requirement to work onsite four days per week. One day per week may be worked remotely, subject to business needs, post successful completion of the probationary period.

About You

You are an experienced administrative professional with exceptional organisational and communication skills, who enjoys working collaboratively while maintaining discretion and professionalism.

Experience required

  • Minimum 5 years’ experience supporting senior management or executives.
  • Strong proficiency in Microsoft Outlook, Office Suite, Power BI, and SharePoint administration.
  • Exceptional organisational and time management skills, with the ability to meet deadlines and manage competing priorities.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Proven ability to maintain confidentiality and handle sensitive information.
  • The ability to work independently and collaboratively in a fast-paced environment.

Qualifications required

  • High School Certificate or equivalent
  • Associate Diploma- Administration or equivalent desired but not essential

Competencies required

  • Proven experience as an Executive Assistant or similar role (minimum five years)
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with the ability to interact professionally with all levels of the organization.
  • Superior attention to detail is imperative.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment
