What this job involves:

As a Facilities Officer within our Integrated Facilities Management business unit, you will achieve the timely and efficient delivery of Facility Management services to Client's staff in Client's Sites and support of their business needs in accordance with Service Levels and Key Performance Indicators. This role requires you to deliver high quality, prompt and courteous Facility Management services in support of Client's business needs in a safe working environment while assisting to monitor Office Facilities & Critical Environment. You will be responsible for managing seconded staff and service contracts/suppliers while ensuring successful completion of scheduled activities and providing prompt, courteous responses to Client's requests. This position involves supervising receptionist, technician, tea lady and security guards while maintaining good communication with clients and landlords, directly contributing to JLL's mission of delivering exceptional facility management solutions that support our clients' operational excellence.

What your day-to-day will look like:

  • Assist to monitor Office Facilities & Critical Environment while reporting and scheduling contractors for preventative maintenance to limit downtime for critical equipment
  • Ensure all office equipment including photocopiers, fax machines, paper shredders are in good working order with timely consumable replenishment
  • Deliver hard service for office area and make annual preventive maintenance schedule for client including air conditioning system/UPS/integrated facilities
  • Meet with GREF to understand clients' needs while evaluating contractors' service performance and releasing PO following agreement operations
  • Arrange office soft & hard service while keeping good communication with clients and ensuring Key Operations Procedures are followed
  • Collect monthly bill and prepare payment track while assisting client/FM to do accrual and update premise pool/general pool allocation key
  • Provide accurate seating plan to support space management on monthly basis while maintaining good communication with landlord through monthly meetings
  • Supervise receptionist, technician, tea lady and security guards while backing up receptionist when necessary during lunch time and leave.

Required Qualifications:

  • University degree with relevant experience in managing facilities preferred and strong interpersonal skills for effective stakeholder management
  • Proficiency in English (spoken and written) with ability to communicate effectively with clients, contractors, and team members
  • Experience with facility management operations including office equipment management and preventative maintenance scheduling
  • Knowledge of vendor management processes including contractor evaluation and purchase order management
  • Understanding of payment/billing management and monthly accounting processes with attention to detail for accurate reporting
  • Ability to supervise diverse team including receptionist, technician, tea lady and security guards with leadership capabilities
  • Experience with space management and seating plan coordination for monthly reporting and client support.

Preferred Qualifications:

  • Background in Integrated Facilities Management with experience supporting GREF or similar corporate clients
  • Knowledge of Key Performance Indicators (KPI) measurement and monthly reporting processes
  • Experience with emergency response procedures and incident reporting in corporate environments
  • Familiarity with critical environment monitoring and equipment maintenance scheduling systems
  • Understanding of landlord relationship management and monthly meeting coordination
  • Experience with staff restacking or relocation coordination and project support capabilities.
