Core Competencies:

This position is an integral part of Harris William’s Workplace Services team, responsible for our Frankfurt office. The Workplace Services site coordinator will plan, coordinate and conduct a broad range of services that allow our Frankfurt office to operate more efficiently and make a difference in employees’ productivity and workplace satisfaction. This includes but is not limited to facilities and equipment maintenance, supplies

ordering/stocking, emergency management practices, managing vendor contracts and space management. This person will evaluate and recommend changes or additions to service offerings in coordination with the Director of Corporate Real Estate, ensuring a one firm approach. The workplace services teams mission it to achieve a professionally productive and personally fulfilling experience for all employees at the firm.

Core Responsibilities:

  • Operations and Maintenance
    • Occupant services – Ensuring the office is stocked with various supplies, as well as continuously evaluating services to improve the employee experience in the workplace. This includes light cleaning around the office, shipping of packages, access card management, etc.
    • Hospitality services - Meeting and greeting guests, serving refreshments, coordinating set-up and clean-up of catered events, maintaining cafe and tea point supplies, maintaining professional and organized appearance of office.
    • Utility management - Oversee the maintenance and repair of facilities and equipment
    • Space coordination – Ensuring our employees are getting the most out of our space, coordinating seat assignments, etc.
    • Resource management – Manage office and hospitality supply inventory and replacement procurement, process workplace office supply and vendor invoices
  • Risk Management
    • Site lead for all environmental Health & safety, security and emergency management efforts

Job Specific Competencies, Education and Experience:

  • College degree, or a comparable combination of education and experience (including military service) may be considered. 3-5 years of experience in a workplace services function within the financial services industry (preferred).
  • Ability to work in Germany without sponsorship
  • Strong communication skills and ability to work well in a team setting.
  • Self-driven but collaborative approach that builds interpersonal networks and is able to influence.
  • Curious mindset that proactively identifies areas of innovation and opportunity to contribute to the firm.
