What is the opportunity?
Role is multi-faceted with a focus on supporting 2 Senior Executives and coordinating department-wide operations across all WMC Training & Development teams. Responsibilities Administrative duties include support for senior leaders, office operations, conference support for all T&D internal events. This role will focus on team member onboarding, department processes and procedures, and department finance. The successful candidate must be organized and flexible; and enjoy working in a fast-paced environment that is results-driven and partnership oriented. You will have the ability to exercise good judgment in a variety of situations and be able to work with minimal day to day supervision.
What will you do?
- Provide executive administrative assistance in support of the senior executives maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline-driven environment
- Manage and or support calendars, coordinates meetings, conferences, and travel arrangements for the supported executives
- Support with expenses, calendar, travel arrangements
- Manage as delegate, expense approvals, myMarketPlace approvals
- Toronto Office Operations: Manage all day-to-day department office operations; Order/maintain office supplies, coordinate meeting spaces as needed, assist with office setup
- Onboarding New Hires: Complete administrative onboarding tasks for all T&D new hires. Manage the Asana project to ensure all tasks are properly assigned and completed on time. Order new hire supplies and assist with technology setup.
- Continual Technology Support: Primary contact for department technology needs, including costing, ordering, fixes and policy enforcement
- Conference Planning: Assist with coordinating and planning quarterly conferences for Wealth Management Canada Head Office, Training & Development team and branch employees; executing agendas and related materials. Coordinate and plan periodic offsite meetings, create participant lists, manage invitations, meeting materials, etc. ensuring collaboration with various business functions to ensure flawless execution of meetings and events.
What do you need to succeed?
Must haves:
- 2 - 4 years’ experience providing administrative support at the executive level.
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point)
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, vendors and front office partners
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
Nice-to-have:
- Bilingual English/French
- Knowledge of RBC Wealth Management Canada
