Position reports to:                           Supervisor, Warehouse (Inventory Receiving, Yard, Dispatch, Bulk Filling Station)

Grade:                                                12

Purpose

To be responsible for leading and managing a team of warehouse staff, overseeing their day-to-day activities, and ensuring that all tasks (inventory, receiving, yard, dispatch and bulk filling station) are completed accurately and in a timely manner.

Key Responsibilities

This position will be required to adhere to all relevant requirements, policies, procedures and legal regulations pertaining to health, safety, environment and quality, as well as finance, human resources, and any other regulations as required by the company and relevant to the level of the role and responsibilities of the function.

  • Supervise and coordinate the activities of warehouse staff, including picking, packing, shipping, and receiving.
  • Plan and prioritize work assignments for the team to ensure optimal workflow and productivity.
  • Train and develop team members on proper warehouse procedures, safety protocols, and company policies.
  • Monitor and enforce compliance with standard operating procedures (SOPs) to maintain quality control and accuracy of inventory.
  • Coordinate with other departments, such as procurement, logistics, and customer service, to ensure smooth operations and timely order fulfilment.
  • Liaise with Purchasing and Accounts Payable on a daily basis in the resolution of queries, ensuring that a non-compliance or IR report is being compiled and reported by subordinates.
  • Ensure all resources in receiving are managed cost efficiently and effectively, especially
  • Company money in physical goods.
  • Oversee inventory management and conduct regular cycle counts and audits to ensure inventory accuracy.
  • Ensure weighbridge operations are conducted accurately, safely and in a timely manner.
  • Expedite the Local/Export Repair Orders, Completion of repair projects upon physical receipts to allocate inventory and update accurate and comprehensive Repairs Tracking Report
  • Identify areas for process improvement and implement efficient warehouse practices to enhance productivity and cost-effectiveness.
  • Ensure clear hand overs are done at shift change whilst maintaining operational service.
  • To ensure bin locations for new stock codes are updated in the system.
  • Control and secure inventory; including warehouse equipment (forklift, pallet stacker, hand trucks)
  • Ensure compliance with health and safety regulations and maintain a clean and organized warehouse environment.
  • Resolve any issues or conflicts that arise within the team and address performance concerns through coaching and mentoring.
  • Prepare regular reports on warehouse performance, including productivity metrics, inventory levels, and order fulfilment rates.
  • Carries out cataloguing of all stock items as requested by end-users in line with established procedures and Data Cataloguing Standards.
  • Liaises with end-users to ensure that catalogued items are properly described and include all relevant technical specifications to ensure correct supply of purchased items.
  • Resolves any queries from suppliers relating to item descriptions/specifications by liaising with relevant end-users and checking of relevant data/information using manuals/internet.
  • Carries out any authorised amendments to stock item descriptions including minimum and maximum stock levels.
  • Carries out on-going stock catalogue maintenance to update the data to incorporate any changes that are relevant to proper inventory management.
  • Ensure picking, checking and dispatching of end user orders and requirements.
  • Ensure prestart check lists are done on all warehouse forklifts and trucks.
  • Perform any other tasks as may be delegated by the supervisor.

Qualifications

  • Grade 12 Senior Certificate or Equivalent
  • Knowledge in accounting added advantage.
  • Diploma or Part Advanced Dip in Purchasing and Supply or Equivalent.

Experience

  • Minimum of 3 - 5 years Working Experience in a Warehouse/logistics Environment
  • Ability to operate a forklift will be advantageous
  • Experience in driving and achieving of goals.
