Talent Acquisition Specialist, Refund Operations

Japan - Tokyo Full time

We are currently looking for a Talent Acquisition Specialist to support our growing business in Japan.

This role will primarily focus on sourcing and hiring talents across Japan for our refund operations business.

Reporting to the Group Talent Acquisition & Retention Partner, as a Talent Acquisition Specialist, main responsibilities will include sourcing active and passive candidates, head hunting, screening, scheduling interviews and more in general to be responsible for the candidate journey from A to Z. The scope of responsibility includes also activities such as stakeholders management, reporting, participation to specific projects, employer branding and other related actions. Ultimately, the successful candidate for this position will be in charge of the hiring process's governance.

You will have a minimum of 3 years of recruitment experience, preferably in or supporting the service industry. You are a great organiser and communicator with proficiency in English and Japanese language


Main Duties and Responsibilities

  • Work with managers through the recruitment process, from creating job descriptions to advising them on the best method of recruitment and working with them through the interview process
  • Manage the whole internal recruitment life cycle, including screening candidates, conducting interviews and support line managers
  • Be aware of candidate care, making sure all candidates’ have a positive recruitment experience
  • Acting as a point of contact for any candidate queries during the recruitment and selection process
  • Interviewing and related administrative tasks and uploading the roles on specific job board
  • Populating HR database in respect of all recruitment activities
  • Build relationships with recruitment agencies, where necessary
  • Manage both local and international job boards such as LinkedIn, Indeed etc
  • Provide recruitment reports on a weekly basis and as requested on ad-hoc basis
  • Closely collaborating with the Global TA team, Regional and local HR teams including business stakeholders

Preferred Competencies

  • A strong understanding of providing the best candidate and customer experience
  • Have experience using database system or recruiting software, with experience in HRIS system Workday being preferable.
  • Demonstrate expertise in using PowerPoint and Excel, including pivot tables for reporting purpose.
  • Have experience using social media networks and reviewing platforms such as LinkedIn, Glassdoor, etc.
  • Show strong organisational and time management skills

Background & education

  • Diploma in HR, Business Administration of related filed
  • Strong communication skills in English and Japanese languages
  • Proven track record in Talent Acquisition projects
  • Experienced in recruiting for the service sector in Japan, specifically customer service talents, both full time and part timer
