Job Summary:

In your pivotal role as Sr. Financial Analyst, you will be responsible for the oversight and quality assurance for the development and negotiation of the budget and contract (payment terms) for clinical trials that will be managed through the Department of Pediatrics, as well as the post-award monitoring of clinical trials.

REQUIRED:
• Bachelor’s (or equivalent experience
• 4 years of relevant experience
• Proficiency in one or more of the following is a PLUS: iLab, Advarra One (Oncore), Workday, sometimes BI Launchpad, eSmart, Microsoft products (Excel, Word, Outlook)

This salaried role will work 100% remotely Monday-Friday, 8:00-5:00 PM. Flexibility is key, as there may be occasion to work beyond these hours.

DEPARTMENT SUMMARY:

Since its inception as a clinic in 1969 and a division in 1975, the VUMC Division of Pediatric Hematology and Oncology has been dedicated to excellence in patient care, research, and education in pediatric hematology and oncology. Deliverables will be measured in the following manner: To complete all clinical trial calendar, coverage analysis and draft budgets within 30 days for new studies and 10 days for clinical trial amendments; budget and contract payment terms executed in 56 days. 

Detailed responsibilities include:

  • Complete a full coverage analysis of clinical trial expenses according to Medicare guidelines.

  • Review charges in EPIC, iLab, and workday to reconcile expenses, revenues, and AR.

  • Perform a quality review of internal cost budgets and sponsor budgets for all new clinical trials and amendments consistent with the coverage analysis.

  • Work collaboratively with the Principal Investigator (PI), Clinical Trial Managers, and ancillary departments to confirm all the costs associated with the research study.

  • Confirm all identified costs are covered in the sponsor budget including patient care costs, facility and equipment costs, and study team time and effort.

  • Review the payment terms in the contract to ensure they are consistent with CTSR requirements.

  • Serve as a liaison between Office of Contracts Management and PI in negotiating the rest of the research contract language. Provide input and details regarding the underlying study protocol.

  • Collaborate with the Clinical Trial Managers and Principal Investigators to obtain and document approval of the budget and payment terms.

  • Obtain institutional signature(s) to execute the clinical trial agreement and/or amendments.

  • Complete the financial billing console within the clinical trial management system with finalized budget information and release calendar to open the trial.

  • Ensures timely and accurate review and reconciliation of research charges in iLab to the appropriate accounts within the institution’s general ledger.

  • Post-award monitoring includes timely revenue collection, billing sponsors for invoiceable items via VUMC’s eSmart website, and maintaining current accounts receivable list.

  • Function independently and proactively with strong critical thinking, analytical, and communication skills.

  • Effectively prioritize tasks and follows-up to ensure completion of studies in a compliant and timely manner.

  • Deliver focused attentive customer service to investigators, research nurses, study coordinators, other staff and sponsors.

  • Effectively identify, prioritize and communicate outstanding issues to management. Propose potential solutions to identified issues and demonstrate follow through actions.

  • Participate in improving departmental performance through recommending areas or approaches for improvement activities, performing new procedures, collecting data and providing input to office discussions.  

  • Track turnaround times and report outcomes to management to ensure departmental performance metrics are met.

  • Demonstrate the characteristics of an effective team member and leader.

  • Provide informal guidance and support to team members.

  • Serves as a subject matter expert for colleagues with less experience; may lead small project teams.

  • Develop knowledge and professional skills through cross training, literature review, attendance at department meetings and continuing education courses.

  • Serve as a backup resource for Sr. Business Analyst responsibilities including quality review of the calendar, coverage analysis and financial console.

 

Requirements:

  • Bachelor’s degree required, with MBA preferred. 

  • Three or more years of experience with any or all of the following: nursing, clinical trial budget development, Medicare billing guidelines, and/or working with a clinical trial management system.

  • Strong knowledge of clinical processes, medical terminology, and the clinical research life cycle required.
