The HR Service Center serves as a centralized hub for delivering HR and Payroll-related support and services. The Senior Payroll Administrator will be responsible for overseeing and processing payroll operations in Poland and/or across EMEA, ensuring accuracy, compliance, and excellence in service delivery.
Manage and process payroll cycles accurately and timely for assigned countries/regions, in compliance with local legislation, company policies, and collective agreements
Ensure data integrity by verifying employee data, time records, and compensation elements (salaries, bonuses, benefits, deductions, etc.) before payroll closure
Monitor and analyze payroll data, identify discrepancies, and perform necessary adjustments or corrections
Prepare and submit payroll reports to Finance and HR, including tax filings, social security contributions, and internal reconciliations
Collaborate with internal stakeholders (HR, Finance, Legal) and external vendors or authorities to ensure smooth payroll operations and compliance with applicable laws
Act as subject matter expert (SME) for payroll-related processes and systems, providing coaching and training to junior team members
Support audits and compliance reviews by maintaining accurate records and documentation of all payroll transactions
Drive continuous improvement initiatives, recommending and implementing process efficiencies, automation, and standardization
Provide excellent customer service, addressing employee payroll inquiries in a timely, professional, and customer-focused manner
Partner with HR and IT teams during payroll system updates, testing, and implementations to ensure smooth transitions and accuracy
Extensive experience (typically 4–6+ years) in payroll administration, ideally within an international or shared service environment
Strong understanding of payroll legislation, taxation, and compliance requirements for Poland
Proficiency with payroll systems (e.g. Optima, SAP HR, Workday, ADP or similar) and MS Excel.
Analytical and problem-solving skills to identify issues, assess impacts, and implement effective resolutions
Exceptional attention to detail and commitment to accuracy
Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment
Strong communication skills, with the ability to explain payroll concepts clearly to non-technical audiences
Collaborative mindset, with the ability to partner effectively with HR, Finance, and external vendors
Fluent in English and Polish (additional languages such as German or Bulgarian would be an asset)
Salary range from 7 000 to 10 400 PLN gross – depending on experience
