Position Summary:

The Senior Manager for the Optical Department is responsible for the oversight of the day-to-day operations of the Optical Department. The Senior Manager will work with VP on the strategy of the department, volume, patient quality of care, patient experience, budget management and financial health. The Senior Manager will oversee both locations, East Boston and South End. The Senior Manager will provide coverage when necessary. This role will also implement patient experience initiatives and action plans.

Job Duties & Responsibilities:

  • Responsible for overseeing and implementing standards of care, finance, and contracts with vendors and sales reps. Will also be responsible for analyzing financial strategy.

  • Manage a team consisting of opticians, apprentice opticians, and operations assistants. Oversee the apprentice optician program in accordance with Massachusetts Division of Apprentice Standards (DAS) policies for on-the-job training (OJT) and related technical instruction (RTI). Responsible for office finances, maintain eyewear and/or lens inventory, maintain the optical practice management software oversee MassHealth patient orders using the MassCor database.

  • Recruits, hires, orients, coaches, and evaluates all support staff. Orients with new students and/or volunteers. Collaborates with Human Resources on recruitment and retention strategies.  Analyzes turnover data and, as necessary, develops action plans.

General Opticianry Duties:

  • Fill ophthalmic prescriptions for eyewear and contact lenses.
  • Verify existing prescriptions using lensometry or other analyzing equipment
  • Assist patients in frame selection based on facial measurements and prescriptions
  • Recommend lenses, treatments, and frames to meet patients’ needs
  • Take precise optical measurements (PDs, segment heights, etc.)
  • Custom-fit eyewear to patients’ anatomy
  • Prepare work orders for lab processing
  • Adjust, repair, and fit eyewear as needed
  • Educate patients on adapting to new prescriptions
  • Understand and process optical insurance benefits to meet patient needs

Optical Laboratory Duties:

Ensure all eyewear meets or exceeds ANSI standards for dress and/or safety

  • Verify that all eyewear meets patient requirements and requests
  • Maintain a safe laboratory environment, including proper ventilation and PPE for lens fabrication
  • Manufacture and assemble eyeglasses
  • Maintain inventory and perform regular maintenance on edging equipment (daily, weekly, monthly, and annually)
  • Designs, inputs, and monitors provider appointment schedules in collaboration with the VP of Specialties.
  • Assesses needs; develops, implements, and coordinates a competency-based educational and training program for support staff, as needed.
  • Promotes communication, collaboration, and problem-solving with members of the health care team, patients, and their families, including waiting room management.
  • Keeps staff informed of all department events, initiatives, etc.  At a minimum, holds monthly staff meetings.
  • Attends organizational meetings on behalf of the department.
  • Continually assesses staffing patterns to assure safe, high-quality, efficient use of personnel and resources. Participates in staff meetings.
  • Participates in the delivery of treatments and care of all patients in a culturally appropriate manner to the patient's age and the populations served. Ensures understanding and values differences in others’ race, nationality, gender, age, background, experience, and style.
  • Identifies and assists in solving system issues related to the effective delivery of patient care.  Accepts and resolves all patient complaints.
  • Establishes role-specific performance expectations, team member roles, and monitors them.
  • Sets agenda, chairs meetings, and achieves measurable outcomes.
  • Acts as a resource for staff and providers on electronic medical records and other computerized systems used in the medical office.

Knowledge, Skills, and Abilities Required

Education:

  • High school diploma or GED required
  • Graduation from a Certified Optician program or equivalent experience and a license are required. There needs to be knowledge and skill in lens grinding, the optical field, and eyeglass dispensing.

    Qualifications:

    • Must possess a Massachusetts Dispensing Optician license in accordance with state licensing requirements
    • Maintain licensure with approved continuing education
    • American Board of Opticianry (ABO) Certification
    • National Contact Lens Examiners (NCLE) Certification

    Salary Starting at: $90,000 per year, and up to $140,400 based on experience.
