Role Outline: Change Governance and Oversight for Ireland, UK, Luxembourg & India

Role/ Department:

The department is responsible for client and investor document management, creating and maintaining the registers of our clients funds in line with investor instructions while ensuring we maintain the integrity and security of the data we hold.

The Change and Oversight Manager reports to the function Manager.

The primary responsibilities of the role are as follows;

Establishing and managing a robust change governance process in the Investor Shared Services (ISS) Team supporting all jurisdictions. This will include ISS process improvement initiatives identified within the team to new business introduction or broader TA and large enterprise or regulatory changes that impact ISS or changes proposed by the regions that oversee the ISS. Put in place and manage an oversight governance framework where the ISS is overseen by other regions or overseeing our outsource location(s) to ensure the service provided is in line with service agreements and related responsibilities.

Key Responsibilities

Change

  • Design and implement a change governance framework to support non-bau activities where change is required ensuring an effective and transparent system in place.
  • Coordinate and manage change requests and projects across Ireland, UK, and Luxembourg from initiation through testing and operational readiness and implementation for the ISS team.
  • Ensure a thorough analysis is completed in relation to all ISS aspects of the changes undertaken and collaborate with the wider change and project teams to design and implement optimum change for the function with a focus on risk mitigation and efficiency.
  • Act as liaison between regional stakeholders and the ISS team for non-BAU/change activity
  • Ensure agreed prioritisation, resource allocation and tracking is in place for all change items and manage to completion.
  • Oversee the execution of change and project activities in India and act as a point of contact and support where required.
  • Monitor, report, and escalate issues and risks related to change activities
  • Provide regular reporting, progress updates, and SLA Management Information (MI) across regions
  • Ensure compliance with all regulatory, client, and internal standards during change processes
  • Support audit, control, and business management duties as related to change initiatives
  • Collaboration with internal teams (Operations, Technology, Compliance, Risk, etc.)
  • Effective communication with stakeholders and senior management
  • Coordination of large transitions and framework changes within the team
  • Project Management of some changes directly

Oversight

  • Put in place and manage an oversight governance framework for the regions that have oversight of ISS and those that we oversee in line with Service Descriptions fostering collaborative relationships with the regions we support to achieve the best possible outcomes for our clients and their investors.
  • Monitor Operational metrics on a daily/weekly/monthly basis and work with the operational teams in India and Ireland to address where required.
  • Ensure accurate and timely reporting to meet oversight requirements per service agreements
  • Track oversight meeting actions to completion
  • Support and co-ordinate oversight due diligence and related preparation
  • Support and co-ordinate procedure reviews and control testing of the function.
  • Support and co-ordinate any internal or external audits of the ISS function in conjunction with Business Management.
  •  Support oversight meetings with India ensuring that actions are managed to completion

 Skills and Experience Required

  • Experience in programme and/or change management in operational teams with multiple concurrent changes in flight
  • An understanding of regulatory requirements and operational processes in Ireland, UK, Luxembourg, and India is an advantage
  • Excellent communication, analytical, and problem-solving skills
  • Proven track record in managing projects and implementing governance frameworks
  • Experience in oversight and stakeholder management across multiple locations
  • Experience in fund administration, investor servicing or financial services is highly desirable.
  • Proficiency in Microsoft Office, project management and reporting tools
  • Ability to work in a hybrid and flexible environment
