The Scheduling Coordinator schedules patient appointment/follow ups and/or surgeries as appropriate in the assigned unit/clinic. He/She closely monitors patients throughout various phases to assure completion of required testing and services, validating financial clearance for services being scheduled, providing stellar customer service when interfacing with patients in person and over the phone to establish appointments, alerting clinicians when patient testing is complete or when patients are non-compliant in completing medical services, coordinating collection of testing results and provider notes, coordinating care with ancillary departments as needed. . Obtains authorizations and pre-authorization for services to be rendered. Schedules ancillary appointments as necessary for patients. Ensures patient charts are prepared prior to appointments/follow up and/or surgery including x-rays and pertinent lab work. Makes arrangements for any special equipment as needed. Reviews and codes charge slips for patient care services and/or surgical services rendered. Maintains files and records, including supporting documentation for insurance claims. Maintains master appointment/surgery calendar for physician(s). Oversees equipment and office supply inventory. Reads all incoming mail, prioritizing and distributing as appropriate. The Scheduling Coordinator acts as a liaison with other departments and physician office staff and arranges for all necessary support services and equipment needed for a case.

Under the direction of the Director, the Scheduling Coordinator actively coordinates an organized and efficient case flow of scheduling future day-to-day activities monitoring/resolving potential scheduling conflicts. Essential Duties:

  • Adheres to protecting patient confidentiality.
  • Promotes a professional business atmosphere utilizing the business computer communication systems.
  • Interacts with others in a positive, non-judgmental manner, managing conflict constructively avoiding escalating negative situations.
  • Communicates all changes with patient and case information to all involved personnel.
  • Demonstrates accuracy and thoroughness in entering information into the Computer systems.
  • Demonstrates flexibility, self-direction, accuracy and problem-solving skills in daily activity.
  • Analyze/plans/prioritizes workload anticipating conflicts.
  • Develops/Participates in Performance Improvement process.
  • Consistently performs duties without interruptions to get job duties completed timely.
  • Demonstrates flexibility in covering other schedulers for sick time, vacation, leave of absence or requested day off.
  • Participates in additional projects and assignments as requested.
  • Contributes to a positive departmental morale.
  • Maintains open communication, good rapport and an effective and professional scheduling attitude with physician offices.
  • Minimizes unnecessary conversations to maximize productivity time during shift.
  • Adheres to pediatric patient population scheduling protocol.
  • Works positively with colleagues to create an effective, efficient work place dedicated to customer service and quality patient care.
  • Considers cost-containment measures and efficient use of supplies when ordering.
  • Follows appropriate procedures for verification of physician credentialing.
  • Follows appropriate procedures for verification of physician suspension list.
  • Proactively Analyze/plan/prepare next day’s surgery schedule anticipating conflicts and arranging for special resources with minimal mistakes.
  • Schedules cases to maximize room utilization.
  • Plans/Coordinates system maintenance downtime as deemed necessary.
  • Performs other related duties as assigned.

Required Qualifications:

  • Req High school or equivalent
  • Req 1 year Experience as a surgery scheduler required
  • Req Medical Terminology knowledge required.
  • Req Demonstrated ability to problem-solve and provide effective resolution.
  • Req Demonstrate excellent customer service behavior.
  • Req Must be comfortable with computers

Preferred Qualifications:

  • Pref Surgical procedure identification knowledge preferred.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The hourly rate range for this position is $22.00 - $37.40.
