QUALIFICATION REQUIREMENTS:
1. Excellent reading, writing and oral proficiency in the English language.
2. Typing, filing, telephone and general secretarial skills.
3. Must be able to type a minimum of 40 WPM.
4. Previous secretarial, hotel and/or related experience required.
5. Prior word processing software experience preferred.
JOB FUNCTIONS:
1. The ability to type correspondence, reports, etc., which includes composition of letters and memorandums.
2. The ability to open and examine incoming correspondence, re-routing mail when appropriate and gather data necessary for response.
3. The ability to handle telephone calls for the executive offices following the standards of Four Seasons Hotels.
4. The ability to ensure proper and correct communication between executive office and other staff.
5. The ability to take minutes when requested.
6. The ability to compose and correspond to all letters to the executive office.
7. The ability to maintain all Rooms Division and Food & Beverage office supplies.
9. The ability to maintain files.
10. The ability to update and maintain the Corporate Policy Manuals and the hotel policy manual as directed.
11. The ability to respond properly in any hotel emergency or safety situation.
12. The ability to perform other tasks or projects as assigned by hotel management and staff.
13. The ability to maintain confidentiality in all matters relating to the Hotel, Home Office, owners, etc.
14. The ability to learn and use various programs in personal computers.
15. The ability to maintain a cordial and professional environment in the office with all visitors and co-workers at all times.
The ability to coordinate the flow of applicant interviews for the Rooms Division Manager and Food & Beverage Director and ensure that the process is as smooth and hospitable as possible. The ability to refrain from seeking personal gain from association with the Hotel or Executive Offices or from soliciting any services or products as a representative of the Hotel or Executive Offices. The ability to use all telephone, fax, computer and other equipment for Hotel business only.
19. The ability to follow proper payroll procedures.
20. The ability to answer telephone and use the paging system according to Four Seasons' standards.
21. The ability to type in a proficient manner to ensure a quality and timely product.
22. The ability to proofread all correspondence prior to submission for signature.
23. The ability to maintain all files in accordance with established procedures and standards.
24. The ability to maintain a friendly, caring and helpful attitude with clients, as well as other hotel personnel.
25. The ability to assist in the preparation of reports as required by the Rooms Division Manager and
Director of Food & Beverage
26. The ability to keep informed as to the daily hotel activities.
27. The ability to participate in scheduled meetings as requested.
28. The ability to copy, fax or mail any documents, files, proposals, prospectus or applications as needed.
29. The ability to trace reservations and amenities as well as pull and re-file files.
