Role Overview:

As a Recruiting Coordinator at CHAOS, you'll be a key player in driving our growth and expansion. Your role is vital in shaping the future success of our company, from managing daily recruitment activities to fostering positive candidate relationships throughout the entire process. You will be instrumental in creating a lasting impression on prospective candidates, setting the tone for their journey with us!

In this role, you'll report into our Recruitment Lead and regularly partner with Hiring Managers and Interviewers to support the rapid development of our dynamic team. Your responsibilities encompass overseeing all aspects of the employee lifecycle, from interview scheduling, related logistics, and onboarding activities. Beyond that, you'll actively contribute to identifying opportunities for enhanced efficiency & improvements while exercising creativity and innovation toward making our experiences top-notch. Your primary objective will be to ensure an outstanding candidate & employee experience, making you an indispensable partner in guiding candidates seamlessly through our recruitment process and into their exciting career journey at CHAOS.

Responsibilities: 

  • Coordinate major aspects of the employee lifecycle from interview scheduling requests for candidates to executing onboarding tasks to assisting with new hire orientations
  • Serve as a main point of contact with interview candidates, ensuring timely communication with them via phone, text, and email, ensuring a positive and informative experience
  • Use (and identify where gaps exist) software tools to manage candidate logistics throughout the recruiting process such as booking travel & lodging accommodations, troubleshooting through last-minute scheduling changes, and facilitating onsite interview operations
  • Liaise with hiring teams to ensure timely interview attendance, collect feedback and relay next steps for candidates while keeping hiring managers up to date on candidate statuses & recruiting process
  • Manage logistics of the onsite interview process for candidates including: scheduling, facilitating tours, setting up conference rooms, ensuring interviewer attendance, and troubleshooting last-minute schedule changes 
  • Identify opportunities for process and system improvements, addressing bottlenecks and enhancing scheduling efficiency
  • Cultivate strong relationships with key stakeholders, including hiring teams, Operations and IT team members
  • Participate in projects to support the recruiting function
  • Work full-time onsite out of our office in Los Angeles (Hawthorne), California

 Minimum Requirements:

  • 2+ years of experience in an administrative role with high-volume scheduling; preferably in a fast-paced environment
  • Track record of supporting multiple scheduling or customer needs at a time with a high level of urgency
  • Strong customer service mindset; proven ability to provide a candidate-first mentality, prioritizing the candidate experience throughout the recruitment process
  • Process-oriented mindset with a passion for process improvement, efficiency and organization
  • Ability to connect and relate to a wide range of people, personalities, and values
  • Ability to thrive in a constantly evolving environment with shifting priorities
  • Willingness to work in-person out of our Los Angeles (Hawthorne) office location 5 days per week

Preferred Requirements:

  • Bachelor’s degree
  • Experience using ATS applications; Greenhouse experience is highly preferred
  • Experience scheduling within Microsoft Outlook
  • Familiarity with Slack
  • Interest in the Tech Recruiting/Talent Acquisition/People Operations function as a career path

Compensation range: $28.00 - $34.00/hour
