POSITION: Receptionist

FLSA STATUS: Part-Time Hourly, Non-Exempt

Summary

ASM Global, the leader in privately managed public assembly facilities, has an excellent and immediate opening for a Receptionist at the Irving Convention Center. This position is responsible for supporting the administration desk by performing general administrative and clerical duties. Under general supervision, this position answers and directs calls, assists with all inquiries and questions, provides information about the convention center and city of Irving, as well as many other basic clerical tasks.

Essential Duties and Responsibilities

Include the following. Other duties may be assigned.

  • Welcome all on site visitors, determine nature of business, announce visitors to appropriate personnel.
  • Answer any questions from visitors or assist in directing them to the appropriate place if answer is not known.
  • Record all messages for unavailable team members and relay messages in a timely manner.
  • Provide information about ICC events, the city of Irving, and other local interest points.
  • Maintain reception area in order to create a clean and welcoming environment.
  • Use computer system to input and process all information, inquiries, and requests.
  • Prepare and process all outgoing mail.
  • Receive, record, and distribute all incoming mail and packages in a timely manner.
  • Coordinate boardroom reservations and supply room with all appropriate items for each event.
  • Maintain information for all events (past, current and future) in ICC and provide information when needed.
  • Order inventory items for the administrative desk, kitchen, and boardroom; Items may include information kits, brochures, copier paper, paper towels, etc.
  • Perform minor maintenance on office machines as needed.
  • Report any concerns or complaints to the appropriate staff member.
  • Provide assistance to other team members with requests and special projects as needed.
  • Perform other duties as assigned.

Education and/or Experience        

  • High School Diploma or G.E.D required.
  • 2+ years of relevant experience required.

Skills and Abilities

  • Effective written and oral communication to relay thoughts clearly and concisely.
  • Professional presentation and communication.
  • Excellent public relations and customer service skills
  • Ability to gather, read, interpret, and identify important information.
  • Time management skills to get tasks done before deadlines.
  • Ability to prioritize tasks.
  • Ability to handle multiple tasks at a time.
  • Self-management skills; Working unsupervised and initiating tasks when needed.

        Computer Skills

  • Comprehensive computer knowledge.
  • Proficient in Microsoft Office applications such as Outlook, Teams, Word, Excel, PowerPoint, etc.
  • Ability to learn new software programs.

        Other Qualifications 

  • A valid, state-issued driver’s license may be required.
