[Key Tasks & Responsibilities]
Vendor Management:
Manage vendors providing facilities maintenance services (e.g., HVAC, UPS, fire equipment, building management system (BMS)).
Support with contracts negotiation, expenses, and manage budgets for vendor services.
Helpdesk & Service Requests:
Respond to helpdesk work related to equipment (e.g., equipment malfunctions, maintenance requests), responding to user requests.
Prioritize and route service requests to appropriate vendors or internal teams.
Safety & Compliance:
Management of a safety work permit system, including the review and approval of work requests submitted by vendors.
Ensure compliance with all safety regulations and protocols.
Participate in safety inspections, fire drills, and emergency response activities.
Facilities Maintenance Oversight:
Monitor and adjust schedules for preventative and corrective maintenance activities.
Support annual power shutdown activities.
Respond to and troubleshoot facility emergencies (e.g., power outages, equipment failures).
Data Management & Reporting:
Maintain accurate records of all facility-related activities and expenses.
Input utility data into relevant systems.
Building Facilities
Coordinate with building services (landlord) about equipment failure and issues within the building.

Proven experience in facilities management, vendor management, or a related field.
Basic engineering knowledge on electrical, mechanical and fire equipment etc.
Excellent communication and interpersonal skills with internal and external parties.
Accurate and timely document creation skills.
Fluency in Japanese (business level proficiency or equivalent to JLPT N2 or higher required).

ヘルプデスク&サービスリクエスト
・設備に関するヘルプデスク業務(例:機器の故障、メンテナンスリクエスト)、ユーザーからのリクエストへの対応
・リクエストに優先順位を付け、適切なベンダーまたはチーム内での連携
安全・コンプライアンス
・ベンダーから提出された作業申請のレビューと承認を含む、安全作業許可システムの管理
・すべての安全規定や手順へのコンプライアンス遵守の確保
・避難訓練や安全点検などの建物関連イベントをサポート
設備保守監視
・保守点検と是正作業のスケジュールを調整
・年次停電作業のサポート
・設備の緊急対応(例:停電、機器故障)
データ管理・レポート
・すべての設備関連および費用の正確な記録の管理
・ユーティリティデータのシステムへ入力
建物設備管理
・建物資産における設備の不具合や問題に対し、建物管理者との調整および連携
