PA to CIO - Equities, Multi Asset & Sustainability

The Role:

This role involves comprehensive diary management, coordination of complex travel arrangements, and providing high-level administrative support. The successful candidate will build strong working relationships with fellow assistants to ensure seamless coverage during holidays and absences, while also helping to manage workloads across the team.

You will be joining a dynamic and high-performing team of seven Personal Assistants.

Key Responsibilities:

  • Support the CIO, Equities on a day to day basis with diary management and arranging complex meetings which includes collation of meeting materials and file organisation
  • To provide diary and administrational support for other Senior management personnel within Public Investments where required.
  • Working with the other Team PAs across Investment teams and within the Administration Team to ensure consistent support across Public Investments.
  • Assist with Administration and minuting for Board meetings and Committees.
  • Diary management, planning of Committee Board meetings, organize catering where needed, liaise with Committee Chairs and members and assist with any queries.
  • Arranging internal and external events.
  • Client liaison regarding meetings/appropriate information requests, as required
  • Work closely with the Head of Public Investment Administration
  • Scheduling of meetings both internally and externally
  • Collate and distribute papers for specific internal meetings, Investment Committees etc
  • Booking all elements of global and UK travel, including accommodation, planning itineraries and co-ordinating meetings.
  • Taking ownership of Board Meeting Scheduling
  • Assisting with events organisation, including Townhalls, Social events, Annual General Meeting, Christmas Party, offsites.
  • Ad hoc tasks as required

Key Knowledge, Skills & Experience

  • Skilled in managing complex diaries and scheduling across multiple stakeholders
  • Experienced in coordinating domestic and international travel, including visa arrangements and local transportation
  • Proficient in overseeing and prioritising email inboxes to ensure timely responses and follow-ups
  • Adept at multitasking across teams and individuals, with a strong grasp of varying needs and priorities
  • Experience within Investment Management or financial services highly desirable
  • Detail-oriented with a meticulous approach to tasks and documentation
  • Competent in financial administration, including processing invoices and managing expense claims
  • Comfortable collaborating with colleagues at all levels of seniority
  • Strong communicator, able to engage effectively across all levels of an organisation
  • Proven ability to build and sustain productive working relationships within teams and across Public Fixed Income
  • Collaborative team player with a supportive and flexible approach
  • Highly organised, with the ability to manage competing priorities efficiently
  • Proactive and enthusiastic, with a positive and approachable “can-do” attitude
  • Proficient in Microsoft Office applications at an intermediate level or higher
