What is the opportunity?
Dr.Bill is a rapidly growing Medical Billing Software Company that services
physicians throughout Ontario, British Columbia and Alberta, Canada. Our
web and mobile applications are designed to support physicians through
their medical billing journey, helping them spend less time on claim
submission and more time with their patients. As Dr.Bill’s Operations
Support Specialist, you will provide essential administrative and operational
support across the Operations team, enabling increased capacity by
managing critical coordination, documentation, and support activities. Act
as a centralized support function (“admin pod”) to strengthen efficiency,
consistency, and execution across the team

What will you do?
  • Perform accurate data entry and manage the manual processing of patient records, ensuring information is complete, consistent and compliant.

  • Phone health ministries to retrieve missing health data and ensure patient files are accurate and up to date

  • Manage the private invoicing of patient claims, ensuring correct billing and timely submission.

  • Onboard physicians into the private invoicing system, providing setup and ongoing support.

  • Handle account set ups including communication with third party suppliers and resolution of any onboarding issues.

  • Deliver core administrative and coordination tasks that ensure smooth day to day operations.

  • Assist with document preparation, scheduling, meeting support, and follow up tracking.

  • Maintain trackers, shared resources, and internal documentation.

  • Ensure operational consistency by standardizing and maintaining templates, reports, and internal communications.

  • Contribute to to a collaborative pod structure, ensuring reliable coverage and support across the broader operations function.

What do you need to succeed?
Must Haves:
  • At least 2 years Medical Office Assistant Experience.

  • Experience with medical invoices for specialized medical coverage (Medavie Blue Cross, UHIP, RAMQ)

  • Intermediate Microsoft Excel experience.

  • Strong detail orientation and ability to multitask and work in a fast-paced environment.

  • Excellent time management skills and ability to prioritize tasks.

  • Excellent communication and interpersonal skills, with proven ability to work effectively both independently and as a positive contributor to the team.

  • Strong computer skills and the ability to adapt to different IT systems.

Nice to have:
  • Intercom Experience

  • Medical Billing Experience

  • Experience working with sensitive documentation in a highly regulated environment
