Cushman & Wakefield is seeking an Operations Coordinator to help provide exceptional onsite service and ensure a welcoming and seamless experience for staff and guests at our corporate headquarters location in downtown Chicago. This role supports a busy office across a broad range of services, including administrative support, facilities coordination, event planning, and communications. Job Description
Key Responsibilities
Office Management & Facilities Support
- Partner with the Facilities team to ensure smooth day-to-day office operations.
- Maintain cleanliness and organization of shared spaces (conference rooms, kitchens, etc.).
- Monitor and restock office and kitchen supplies; manage inventory and vendor relationships.
- Coordinate with building management for maintenance and service requests.
- Serve as a point of contact for general office-related inquiries.
- Manage conference room calendars and assist with scheduling.
- Process invoices and expenses; support vendor coordination and follow-up.
- Assist with special projects and ad hoc administrative tasks.
Event & Meeting Support
- Assist with planning and execution of internal meetings and events.
- Help coordinate logistical details for office gatherings and special events, including catering and room setup.
- Maintain database and provide dining and other local recommendations for guests as requested.
Communications
- Assist with compiling monthly market newsletter and internal communications and announcements.
- Maintain office intranet.
Back-up Support
- Provide back-up support for Receptionist, Production, and mail room as needed, including:
- Greet and assist visitors, clients, and employees with professionalism and warmth.
- Manage the main phone line and direct inquiries appropriately.
- Maintain a polished and professional atmosphere in lobby and reception areas.
- Coordinate guest registration with building security and internal staff.
- Handle mail distribution and print support.
Qualifications & Skills
- High school diploma or GED required; Associate or Bachelor’s degree preferred.
- 2+ years of experience in office coordination, front desk, or administrative support roles.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Familiarity with Adobe Creative Suite (InDesign, Photoshop) is a plus.
- Experience with Workday or similar systems is a plus.
- Strong organizational, multitasking, and communication skills.
- Professional demeanor with a customer-service mindset.
- Ability to work independently and collaboratively in a team-oriented environment.
- This position is primarily based in Chicago, but must have the ability to travel to our suburban Rosemont location as needed to provide support.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $20.83 - $24.50
