JOB SUMMARY
The Operations Specialist plays a critical role in ensuring the smooth daily operations at Bullis. This position supports and coordinates activities across multiple operational areas — including the front office, health services, food services, custodial operations, and emergency preparedness — to maintain a safe, efficient, and welcoming school environment.
The Operations Specialist does not supervise staff directly but provides essential support to the individuals and teams responsible for these areas. The role also includes stepping in to provide direct coverage for food service, office, health assistant or custodial duties during staff absences or periods of high demand.
This position requires a proactive, flexible, and solutions-oriented professional who can manage a variety of operational needs, communicate effectively with staff, families, vendors, and ensure that school operations align with organizational standards and compliance requirements.
This is a full-time, year-round, salaried exempt position.
Key Responsibilities:
Operational (〜70% of role)
- General Operations
- Serve as a point of contact for operational needs for both school campuses
- Support the planning, coordination, and monitoring of day-to-day operational activities
- Travel between our campus locations to provide support any given day
- Serve as right-hand support for daily operational activities
- Including, not limited to:
- Communication with site administrators, office teams, and the school district to ensure timely resolution of operational issues
- Maintenance and monitoring of operational systems, records, and logs
- Student arrival/dismissal traffic monitoring
- Transportation coordination for fieldtrips
- Volunteer coordination
- Office and Administrative Support
- Help ensure that front office operations run efficiently and reflect a welcoming, professional environment
- Assist front office staff with coordination of supplies, schedules, and clerical processes
- Health Assistant Support
- Provide backup assistance for basic health and wellness needs of students and staff
- Participate in emergency response drills and documentation as needed
- Help ensure compliance with student health and safety requirements
- Step in to assist with health services in the front offices during staff absences
- Food Services
- Step in to assist with food preparation, service, and cleanup during staff absences or high-demand periods
- Liaise with food service vendors and district nutrition services to address meal delivery, quality, and service issues
- Support site staff in ensuring that food service operations meet health and safety standards
- Custodial and Facilities Support
- Manage custodial and maintenance ticketing systems in close collaboration with custodians on both campuses
- Communicate with the school district and vendors to ensure timely service and issue resolution
- Cover essential cleaning and maintenance tasks as needed to ensure a safe, clean learning environment
- Support event setup and takedown if needed
Strategic, Tactical, & Special Projects (〜30% of role)
- Emergency Procedures and Preparedness
- Assist in maintaining and updating the school’s emergency procedures, plans, and materials in close collaboration with Chief of Staff
- Support coordination of safety drills, emergency supplies, and documentation at both campuses
- Process Improvement
- Identify opportunities to streamline operations and enhance efficiency across campuses
- Attendance Accuracy
- Regularly review attendance reports for accuracy and completeness
- Support attendance clerks
- Data Collection, Management & Reporting
- Support compliance relevant data management and reporting as directed by Chief of Staff
- Gather operational metrics and assist with administrative reporting
- Provide data support to Executive Director and Principals as directed
- Special Projects in Operations
- Engage in and manage special projects as assigned by Executive Director, Chief of Staff, or Principals
Qualifications
Required
- High school diploma or equivalent; Associate’s degree preferred
- 2+ years of experience in multi-functional operational or administrative roles
- Experience working in educational, childcare, or youth-serving environments strongly preferred
- Experience with emergency management or safety protocols
- Previous experience in food service, health assistance, or custodial work
- Familiarity with educational regulations, compliance requirements, and operational policies
- Valid driver’s license and reliable transportation for multi-campus travel
- Ability to lift up to 30 pounds and perform physical tasks (cleaning, food service, moving supplies)
- Strong interpersonal, organizational, and communication skills with diverse stakeholders
- Flexibility to work varied schedules, including occasional evenings or weekends
- Basic First Aid/CPR certification (or willingness to obtain)
- Food Handler or Food Manager certification (or willingness to obtain)
- Must successfully pass a background check for working with minors

Working Conditions
- Primarily a school office and campus environment with regular interaction with students, staff, families, and district personnel
- Frequent travel between two school sites as needed
- Occasional standing, bending, and lifting associated with food service, custodial, or emergency support duties
- May require flexible scheduling to meet operational needs or participate in school events
Physical Demands & Work Environment
This role requires:
- Ability to stand, walk, and move frequently throughout the day
- Comfortable working both indoors and outdoors
- Interaction with children, parents, teachers, and community members
- Travel between multiple campus locations daily
- Occasional work during school events, emergencies, or staff shortages
