Job Summary     
WIC is seeking a skilled office assistant with great customer service skills. The Grant Service Specialist I Office Assistant will provide a variety of office support on the WIC Hotline team. The role includes answering multi phone-line system, scheduling appointments for WIC customers, data entry, and administrative tasks to ensure efficiency within the program hotline.

Essential Functions    

  • Perform established Hotline procedures, Answer hotline phones.
  • Accurately collect information and data entry into the WIC database.
  • Schedule client appointments in the WIC database.
  • Routes calls to clinic staff.
  • Routes customer concerns and complaints to supervisor.
  • Provide general information and referrals to health and social agencies.
  • Maintain reports and files.
  • Maintain confidentiality of WIC information.
  • Other related duties as assigned.

Minimum Qualifications

Education: Have a High School diploma or GED equivalent.
 

AND
 

Experience: Have two years of professional-level office experience and data entry or computer experience.
 

OR
 

Equivalency Notes: Have an equivalent combination of education and experience.

Knowledge, Skills, and Abilities     

  • Minimum one year of experience in a call center or customer contact services.
  • Demonstrate excellent data entry proficiency on various computer platforms.
  • Ability to work on a team.
  • Ability to work with the public, providers and translators from diverse cultures and languages.
  • Excellent customer service and interpersonal skills.
  • Proficiency in writing emails and written correspondence.
  • Demonstrate attention to detail.
  • Accessible transportation for work.

Additional Information

Background Check    
Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and must be successfully completed.

Probation   
All persons, including current City employees, selected for this position must complete a 6-month mandatory probation.
