We are seeking a detail-oriented and proactive Office & Accounting Administrator to join our team full-time in our Bellevue, WA office. This role is essential to supporting our accounting operations and ensuring smooth day-to-day office functions. The ideal candidate will be organized, tech-savvy, and comfortable working in a fast-paced environment with minimal supervision.Essential Duties & Responsibilities:
Assist with billing processes, including progressive billing and updating Schedule of Values (SOV)
Prepare and manage lien waivers and other billing documentation
Receive and record payments accurately
Set up new projects in accounting and project management systems
Set up new vendors, including requesting and tracking W9s and Certificates of Insurance
Support the Office Manager with daily tasks and special projects
Track and manage incoming mail (physical and virtual via EarthClass Mail)
Print, fold, and prepare permit sets and other documentation
Maintain organized filing systems (digital and physical)
Manage office supplies and coordinate orders
Provide general administrative support across department
Perform other duties assigned by management
Education/Qualifications:
High school diploma required.
2+ years of experience in an administrative or accounting support role (construction or project-based industry) preferred.
Familiarity with accounting software and project management platforms.
Ability to proofread.
Proficient in Microsoft Office Suite or similar software.
Basic understanding of office equipment.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently and identify and solve problems.
Ability to organize and prioritize work.
Other Duties:
Adheres to the Code of Conduct, Confidentiality Agreement, and Company Safety Policy.
Performs other duties as assigned.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Pay Rate:
$25.00 - $35.00 per hour DOE.
