The IP Docketing Coordinator supports the IP Docketing Manager and the Docketing team in an administrative role. Supports day-to-day functions of the IP department, including document handling, data entry, and internal communications. Interface regularly with attorneys, paralegals, and administrative team to facilitate communication and workflow. Maintain a high standard of service and responsiveness across departments.

What You Will Do:

  • Provide comprehensive administrative assistance to the Intellectual Property Practice Group.

  • Handle mailings, scan incoming correspondence, draft routine emails, and enter data into internal systems.

  • Coordinate and maintain department-related documents using the firm’s document management system.

  • Ensure accurate filing and organization of correspondence in the respective databases.

  • Review and process official communications from patent offices, including, but not limited to the USPTO.

  • Coordinate internal workflows and data entry based on received notices and deadlines.

  • Open new matters, update existing ones, and process conflict checks in accordance with firm protocols.

  • Assist in docketing and processing administrative IP actions under supervision.

  • Ensure deadlines and action items are accurately recorded and monitored.

  • Support various departmental projects and initiatives as assigned.

Who You Are:

  • Proficient in MS Outlook, Word, and Excel as well as basic computer and database management skills.

  • Strong oral and written communication skills and the ability to effectively communicate workflow and project updates.

  • Strong time management, prioritization, problem solving, and organizational skills, and the ability to work effectively in a high-pressure environment.

  • Strong attention to detail and analytical skills.

  • Exceptional interpersonal skills and ability to work effectively with different levels of colleagues.

  • Flexibility and capacity to respond calmly, efficiently, and effectively in stressful situations.

  • Punctual, reliable, and able to meet set deadlines and work efficiently under pressure.

  • Ability to maintain confidentiality of matters and other firm business information.

The target salary range for this position varies by location and is commensurate with relevant experience: Boston $75,100 - $100,100 | Los Angeles $80,700 - $107,600 | New York $80,700 - $107,600 | Philadelphia $73,600 - $98,100 | San Francisco $86,300 - $115,100 | Santa Monica $80,700 - $107,600 | Silicon Valley $86,300 - $115,100 | Washington DC $75,100 - $100,100
