SUMMARY

The HR Associate provides comprehensive administrative support to the Corporate HR Business Partner (HRBP) team, ensuring the efficiency, accuracy, and integrity of HR processes and procedures. This role is responsible for facilitating onboarding and offboarding, managing leave administration, processing vendor invoices, and coordinating payroll activities. The HR Associate acts as a key liaison between employees, HRBPs, and other functional teams, contributing to a positive and consistent employee experience.

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

Onboarding Coordination:

  • Serve as the primary point of contact for onboarding at the Corporate Office, ensuring a consistent Westlake onboarding experience.
  • Maintain and update onboarding trackers; verify completion of all assigned onboarding tasks.
  • Conduct weekly orientation sessions, including completion of I-9 forms, distribution of company property (laptops, ID badges), and facilitating New Hire Orientation.

Offboarding Support:

  • Coordinate and support personnel offboarding; ensure completion of offboarding checklists and return of company property.
  • Maintain offboarding trackers and verify all tasks are completed.

Leave Administration:

  • Act as the primary contact for leave of absence and accommodation requests for the Corporate HR team.
  • Maintain LOA/accommodation trackers; collaborate with HRBPs to ensure proper documentation and clear communication with employees and supervisors.

Payroll & Invoice Processing:

  • Submit and code vendor invoices in the vendor invoice management system.
  • Process bi-weekly timecard for Corporate pay group, ensure accuracy and track timeliness of completion and escalate delays as needed to processing deadline is achieved. 

General HR Administrative Support:

  • Provide administrative support to HR business partners and talent acquisition partners.
  • Prepare reports, presentations, and supporting materials in Word, Excel, and PowerPoint; utilize advanced functions such as mail merge and VLOOKUP.
  • Assist with the preparation and execution of HR annual processes (e.g., Performance Calibration Review Sessions, Merit Process, Open Enrollment).
  • Maintain confidential HR documentation and employee records in Workday, ensuring compliance and data integrity for transactions such as hires, changes, transfers, and terminations.
  • Organize and maintain personnel files and electronic filing systems for efficient information retrieval.
  • Update organizational charts and support various projects and team initiatives.
  • Schedule and arrange team meetings as required.

Talent Acquisition Support:

  • Create and route job requisitions; monitor approval processes.
  • Create and maintain “Corporate Recruiting Report” and Teams site.
  • Set up Paradox for interview scheduling and assist with interview guides and documentation, as requested.
  • Provide administrative support to the Talent Acquisition team, as requested.

Employee Relations & Compliance:

  • Respond to employee inquiries professionally and direct them to appropriate resources.
  • Manage the HRBP mailbox and escalate issues as needed.
  • Assist with the facilitation and scheduling of the random drug testing program as directed by leadership.
  • Ensure compliance with workplace labor law poster requirements.
  • Liaise with other departments (payroll, benefits, etc.) to support employee needs.
  • Support continuous improvement and operational excellence initiatives within HR.

Other Duties:

  • Complete monthly reporting and other tasks assigned.
  • Comply with all company policies and procedures.

QUALIFICATIONS, EDUCATION AND EXPERIENCE

  • Bachelor’s degree in human resources, business, or a related field required; minimum of 1-2 years of relevant work experience preferred.
  • Proficient in Microsoft Word, Excel (including advanced functions), PowerPoint, and Outlook.
  • Prior experience with Workday, SAP, Concur preferred.
  • Strong interpersonal and communication skills, both verbal and written.
  • Ability to work independently and exercise sound professional judgment.
  • Demonstrated ability to manage multiple priorities and work effectively under pressure in a fast-paced environment.
  • High level of initiative, attention to detail, and persistence in follow-up.
  • Strong organizational skills and ability to prioritize tasks.
  • Demonstrated professionalism, confidentiality, and discretion in handling sensitive information.
  • Ability to work collaboratively in a team environment and interact confidently with employees at all levels of the organization.

                                               

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear.  The employee is occasionally required to stoop, kneel, or crouch.  The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office.  Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc.  May also result in exposure to outside elements and may require usage of stairs and elevators.  Travel including air travel or auto travel may occasionally be required.
