Job Summary
The Hospitality team is the face of our Company, creating a positive first impression for every guest and team member that enters our office and a welcoming resource for all callers. This role’s main responsibility is creating a friendly, professional, and unique experience through in person and phone interactions by taking the initiative to deliver exceptional customer service. The Hospitality team is empowered to do what needs to be done to ensure the needs of our guests and teams are met.
This role supports all our internal teams with work related to on-site visits, which are critical to the success of Brokers International. Hospitality team members also own work that keep our building running smoothly and ensure visitors and employees enjoy a positive working/meeting environment. Due to the nature of the job responsibilities, our Hospitality team is required to work onsite.
Primary Responsibilities:
Front Desk Coverage: Ensure proper coverage during business hours.
Office Maintenance: Keep all areas presentable and track all activity.
Guest Experience: Meet, greet, and direct incoming guests. Validate parking and assist guests as needed.
Meeting Management: Manage conference room calendars via Outlook, reconfirm meetings, and set up catering as needed.
Inventory Management: Maintain and refill office and kitchen supplies.
Mail and Package Handling: Receive, sign, and distribute all incoming packages. Handle mail and distribution.
Event Organization: Organize birthdays or special events as needed.
Communication: Arrange and prepare email correspondence and other communications.
Project Management: Tackle ad-hoc projects efficiently, meeting deadlines, and ensuring completion.
Staff Support: Assist staff members with expense reports, travel, calls, and other needs.
Invoice Management: Track and enter invoices.
Primary Skills & Requirements:

Multitasking: Ability to handle multiple tasks and requests at once.
Communication Skills: Excellent written and verbal communication skills.
Experience with multiline telephone systems Organizational Skills: Strong organizational skills with the ability to manage numerous projects and priorities at once.
Customer Service: Strong customer service skills with a focus on delivering a great total customer experience.
Technical Skills: Proficiency in Microsoft Office Suite, especially Outlook.
Teamwork: Ability to work well in a team, collaborating with other team members on projects.
6 – 12 months experience in customer service.
High school diploma or general education degree (GED).
