 The University of Miami/UHealth Department of Health Information Management has an exciting opportunity for a full-time Health Information Technician 2 to work in Miami, FL. The HIM Technician II position is responsible for deficiency management and dictation/transcription processes within the electronic health record.  This role interacts with and supports medical staff members with completion of the electronic health record including deficiency letters and suspension of privileges.  All transactions must be accurate and attention to detail is critical.  This position requires technical expertise to understand how systems interact and communicate.  It is expected the HIM Technician II will have a mid-level understanding of health information management including how various portions become a consolidation legal record of the patient’s care. 

CORE JOB FUNCTIONS                                                                                                          

  • Review medical records and checks for completeness. Ensures confidentiality and protects patient medical records.

  • Complete Qualitative and Quantitative Analysis of the patient’s medical records based on established standards.

  • Prepares deficiency letters and communicates with physicians’ offices when medical records are incomplete.

  • Answer and respond to medical records inquiries in person, via fax, telephone, and general medical records e-mail in compliance with hospital requirements.

  • Monitor dictation/transcription services for accuracy and completeness including reports and interface work queues.

  • Complies with the hospital requirements, Joint Commission for Accreditation of Healthcare Organizations, State regulations and works closely with the HIPAA Privacy Office to ensure HIPAA compliance.

  • Completes all mandatory training in a timely manner.

  • Participates in special projects, system testing, and new functionality as requested.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

  • Analyzes inpatient, ambulatory surgery, outpatient, and/or behavioral health records following established procedures. Analyzes, reviews, assigns, tracks, and reconciles completion requirements for medical records to ensure compliance with rules and regulations and other standards for billing and coding purposes.

  • Performs quantitative and qualitative analysis according to policy and procedures with an accuracy rate of 95% percent and audits work as required.

  • Notifies physicians weekly with calls and letters of all incomplete and delinquent records.  Data is accurately tracked and reported at the time of suspension.

  • Tracks and reports status of documentation requirements for coding purposes such as operative reports needed for coding.

  • Accurately tracks, assigns, and reconciles the status of transcribed medical reports in the electronic deficiency system.

  • Researches and resolves discrepancies in various report queues (dictation reanalysis, etc.) to ensure timely completion.

  • Reports results of special studies such as H&P timeliness and other reports as needed.

  • Assists in preparing the pre-suspension and suspension list and makes updates as necessary.

  • Achieve and maintain quality at 95 % accuracy and meet or exceed productivity standards.

CORE QUALIFICATIONS                                                                                                         

  • High School Diploma or equivalent required. Associate degree preferred.

  • Minimum 2-3 years of relevant experience in a teaching and research acute care hospital.

  • Certification RHIT preferred.

  • Interpersonal, analytical, and multitasking skills.  Willingness to be an engaged member of the team.

  • Ability to maintain strong, positive customer service relationships under pressure and to communicate effectively and to provide instruction to customers and patients.

  • Ability to make decisions, exercise independent judgement and work independently with limited supervision or collaborate as part of a team.  Establish priorities and coordinate multiple tasks and simultaneous projects in order to maintain control of workflow.

  • Knowledge, understanding and proper usage of medical terminology, formal or correspondence course.

  • Knowledge of hospital policies procedures and practices, JCAHO standards, State and Federal Regulations.

  • Experience with electronic health records

  • Competent in the use of computers, working in systems, learn quickly, meet deadlines, and enjoy a process-oriented atmosphere and being part of a productive team.

  • Ability to handle difficult and stressful situations with professional composure.

  • Ability to maintain effective interpersonal relationships with team members, leaders, and members of the medical staff.

  • Ability to understand and follow instructions including department specific procedures.

  • Microsoft Office suite
