The Event Mkt Project Manager provides full leadership and supervisory responsibility. Provides operational/service leadership and direction to team(s). Applies in-depth disciplinary knowledge through provision of value-added perspectives or advisory services. May contribute to the development of new techniques, models and plans within area of expertise. Excellent communication and diplomacy skills are required. Generally, has responsibility for volume, quality, timeliness of end results and shared responsibility for planning and budgets. Work affects an entire area, which eventually affects the overall performance and effectiveness of the sub-function/job family. Full supervisory responsibility, ensuring motivation and development of team through professional leadership to include duties such as performance evaluation, compensation, hiring, disciplinary and terminations as well as direction of daily tasks and responsibilities.

Responsibilities:

  • Manages day-to-day project logistics and event execution with internal clients, creating event marketing efficiencies for Citi across all business units.
  • Collaborates with business unit managers on event strategies and special projects, solution oriented.
  • Generates ideas to expand client perceptions to help drive results and capture cost savings.
  • Manages all logistical details p pertaining to event attendees and presenters.
  • Ensures program branding (marketing materials, signage, and displays) at all events meet Citi requirements and marketing/branding goals.
  • Develops and implements methods to evaluate overall event value to the business.
  • Maintains accurate budgets for meetings that will generate ROI and manage metrics reporting details.
  • Supports all CEMP (Citi Expense Management) initiatives, event risk evaluation’s; reconcile program invoices and event final cost reporting.
  • Partners with colleagues and vendors on details regarding venue logistics and execution, transportation details, audio visual equipment, etc.
  • Reviews and negotiates contracts to receive the best possible rates.
  • Partners with Citi technology and audio visual services to ensure appropriate equipment is included for all programs. Work directly with dedicated technicians; secure video conferencing, video recording and all pertinent meeting related equipment. Partner with outside vendors for onsite audiovisual and technology support at non Citi venues. Excellent negotiating skills a must.
  • Initiates development of web registration sites with web developer; reviews content to ensure accuracy; responds to attendee inquiries noted on registration forms; provide reports to client on a consistent basis indicating changes or updates.
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.


Qualifications:

  • 5-8 years of experience in Event Marketing or Hospitality Industry
  • Ability to effectively manage multiple priorities simultaneously in a fast-paced environment
  • Excellent time management skills to handle projects that have long and short lead times
  • Excellent relationship management skills with proven success in being people-focused
  • Excellent negotiation and communication skills


Education:

  • Bachelors/University degree or equivalent experience

The team is comprised of highly experienced event management professionals that include event marketers, strategists, planners, logistics experts, meeting and roadshow coordinators, content managers, list managers, finance and budget experts, process controllers, and reporting analysts. Applicants must have experience in corporate meetings and events, in person and virtual meeting production and execution or relevant experience in production of live events and/or the hospitality industry event management.  Successful candidates must be committed to very high quality control standards, quick turnaround times and tight immovable deadlines.  Core competencies include working in a fast-paced environment, managing multiple simultaneous projects, strong attention to detail, excellent communications, event production, customer service and technology skills, willingness to work across global time zones, travel when appropriate and the ability to use standard office computer systems, and working under pressure while being a collaborative team player.

Objective

  • As an Event Marketing Project Manager, the candidate will provide event-marketing services, in person event planning, production and execution for business units the team supports. Provides operational/service leadership. Applies in-depth disciplinary knowledge through provision of value-added perspectives or advisory services. May contribute to the development of new techniques, models and plans within area of expertise. The position reports to Vice President of GEM Brazil.

Key Responsibilities

  • Project Management – Manage all phases of planning and executing Live events. Manage program logistics and communications with internal partners. Generally has responsibility for volume, quality, timeliness of end results and shared responsibility for planning and budgets. Work affects an entire area, which eventually affects the overall performance and effectiveness of the sub-function/job family.

  • Vendor Management – Manage relationships with internal and external vendors.  Negotiate and review contract terms and conditions.  Communicate and manage program requirements and ensure logistical details meet expectations and established deadlines.

  • Risk & Control – Support all Citi’s expense risk and compliance policies.  Reconcile program invoices and event close out requirements within the required timeframe.

QUALIFICATIONS:

  • Event Marketing or Hospitality Industry to minimum of 5+ years.

  • Minimum of 5-7 years senior project management/event planner and production experience.

  • Advanced English level.

  • High experience in event production.

  • Ability to successfully partner with team members in planning and execution of in person live events and be responsible to effectively manage assigned events, including production.

  • Ability to effectively manage multiple priorities simultaneously in a fast-paced environment.

  • Knowledge of virtual platforms, venue/vendor sourcing and event technology.

  • Generate ideas to expand client perceptions to help drive results and capture cost savings.

  • Collaborate with business unit managers on event strategies and special projects, solution oriented.

  • Strong relationship management skills.

  • Strong negotiation, written and communication skills.

  • Excellent time management skills to handle projects that have long and short lead times.

  • Collaborative "team player" orientation with a strong regional cultural awareness.

  • Flexibility in work hours.

  • Travel to and support onsite execution will be required, approximately 5 - 20% of time out of office

  • Bachelor’s Degree or equivalent experience | Advertising and Marketing background a plus, as well as event production

  • Knowledge of event trends that affect financial services industry and conference centers; read financial and marketing publications, keep current on cultural and sporting events and restaurant reviews to ensure ideas are innovative

  • High level of computer skills including Word, Excel, PowerPoint, Outlook, virtual platforms and knowledge of database management, knowledge of Cvent a plus.
