Job Description Summary:
The Fleet Services Administrator position is part of the Strategic Services Division within the University of Kansas Medical Center Police Department. This role is responsible for ensuring that all department vehicles are properly maintained, serviced, and repaired to support operational readiness and safety. The position manages routine maintenance schedules, coordinates repairs, and maintains accurate service records for the department’s vehicle fleet. The role also supports police-specific technologies, such as mobile data terminals (MDTs) and in-car camera systems, to ensure continuous functionality. These systems are critical in supporting the department’s overall mission of safety and security.

Job Responsibilities
- Ensure the department’s vehicle fleet is routinely serviced, maintained, repaired, and recalled as required. Make recommendations for vehicle replacement.
- Inspect vehicles to identify maintenance, repair, or service needs; ensure vehicles are fully serviced (e.g., fuel and fluid levels) and prepared for seasonal use.
- Purchase replacement parts and equipment as needed (e.g., tires, batteries).
- Monitor and process vehicle service, maintenance, and repair requests to ensure timely completion and prompt return to service.
- Maintain communication with the supervisor and division captains regarding vehicle status and operational readiness.
- Report issues or concerns to the supervisor promptly and consult with leadership before authorizing significant or unusual repair expenditures.
- Ensure vehicles are routinely cleaned, including detailed cleanings as needed.
- Maintain knowledge of applicable State of Kansas purchase and service contracts and utilize state vendors when appropriate.
- Ensure all vehicles are equipped with a functioning fire extinguisher, AED, Jump Pack, and road hazard kit; ensure fire extinguishers are inspected and serviced regularly.
- Submit purchase requests, receipts, and invoices accurately and in a timely manner; coordinate with department personnel to ensure timely reconciliation of services and payments.
- Maintain vehicle service and maintenance documentation using approved computer-based programs and fleet management software.
- Troubleshoot police-specific technology (e.g., mobile data terminals, in-car cameras) through virtual platforms such as Zoom, Teams, or Webex.
- Oversee the bid process in compliance with university procurement guidelines.
- Provide customer service to both internal and external customers.
- Ensure all vehicles are properly licensed, registered, titled, insured, and registered for Kansas K-Tag.
- Work with administrative staff to ensure all vehicle related matters/expenses are justified (e.g. gas cards). Provide documentation to the appropriate department and University areas.
- Maintain all department equipment and uniforms.

Required Qualifications
License: A valid, unrestricted driver’s license.
Work Experience:
- Six months experience in basic vehicle service, maintenance, and repair.
- Experience operating motorized vehicles, two-way radios, and other equipment.
- This position requires the successful completion of a drug screening pursuant to K.S.A. 75-4362 and K.S.A. 75-4363, and a background investigation.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
