Position Summary:
Under the direction of the Associate Director, Finance, provides financial guidance and support on all funds within the Faculty of Arts' jurisdiction including operating, research and endowment. The primary responsibility of the role is centered on the management and oversight of research funds, including funds under the responsibility by the Dean and Associate Deans. It provides key financial analysis and recommendations aligned to support the mission of the Faculty and works closely with the Associate Director, Finance at the Faculty level in overseeing all financial activities to ensure best practices and processes are in place for financial stability and compliance.
Primary Responsibilities:
Serve as a primary liaison for units and researchers across the Faculty, ensuring consistent, responsive, and effective communication and support.
Monitor and review the volume of expense reports to maintain balanced workflows across Administrative Services Centers, optimizing efficiency and accuracy.
Act as a Financial Service Team member within the deanery’s assigned portfolio, supporting financial operations, compliance, and strategic initiatives.
Manage the research portfolio of salary awards, namely CIFAR, the Canada Research Chair, James McGill, Dawson Scholar portfolios in the Faculty. Track and monitor budget allocations and spending. Liaise with finance managers in the Faculty’s units, researchers, Financial Services and Office of Sponsored Research.
For the Research Support Fund/IPG and CFI/CFI IOF funds: liaise with Associate Deans for financial reporting, monitor expenditures, ensure compliance with funding agency guidelines.
Review compliance reports for overall Faculty performance and identify training needs. Verify and ensure that all financial operations are undertaken in an effective and compliant manner.
Responsible for sound financial operations and co-ordination of activities in the areas of finance related to research, non-research and endowed funds; provide high level of support to the Associate Director, Finance and units in the planning, management and reporting of all financial activities within the Faculty.
Provide key financial analysis and make recommendations to support the strategic focus and mission of the Faculty, including but not limited to budget analysis, financial analysis, compilation and preparation of financial reports and statements.
Identify opportunities to improve existing financial processes and participate in the development of new policies, procedures and guidelines that support the Faculty’s initiatives and ensure smooth implementation.
Advise the Dean, the Associate Deans and other senior managers within the Faculty to develop and integrate strategic plans, academic initiatives, and financial resources. Assist in budgeting, monitoring expenses, financial reporting, and ensure compliance with institutional policies. Process transfers, update databases, save commitments and keep reporting up to date for the Dean and Associate Dean of Research commitments.
Network and collaborate in regular meetings with finance managers to exchange best practices, tools, communication plans and training tips for promoting standardized processes within Faculty.
Responsible for supporting and contributing to strategic initiatives, including but not limited to participation in specific strategic workgroups as well as ongoing discussions and initiatives across campus.
Other Qualifying Skills and/or Abilities:
Extensive knowledge of accounting and financial management principles. Ability to administer funds and prepare detailed budgets. Knowledge of McGill fund types (or other University) including experience in financial research administration. Demonstrated experience managing teams and serving as a facilitator and motivator. Proven success in facilitating and maintaining strong, consistent, and effective communication with diverse audience and interacting with various levels of academics and administrative staff. Service-oriented with excellent customer service skills and the ability to establish productive working relationships quickly. Excellent analytical and problem-solving skills. Advanced proficiency with computerized applications including spreadsheets, databases, word-processing software, Banner FIS, Workday, Crystal reports. Excellent communication skills in both English and French.
