The Admin & Finance Specialist plays a critical role in ensuring smooth financial operations and administrative support across the organization. This role oversees client billing and renewals, accounts payable/receivable, vendor management, and financial reporting, while also managing office administration and internal coordination. By combining strong analytical, organizational, and problem-solving skills, the Specialist ensures accuracy, compliance, and efficiency in both finance and administrative processes.

1. Client Billing & Account Management

  • Maintain client license database and records in FieldPoint, GP, and MatterLink

  • Manage client invoicing (contracts, add-ons, new sales, PS services)

  • Oversee contract renewals, price increases, and notifications

  • Ensure compliance with tax status and billing laws

2. AP/AR & Vendor Management

  • Enter and manage AP/AR, vendor contracts, renewals, and employee expenses.

  • Reconcile accounts (PS, 3rd party, sales, attrition).

  • Manage concessions, credit memos, and write-offs.

  • Oversee vendor renewals, facilities contracts, and SOC2 compliance documentation

3. Financial Reporting and Revenue Analysis

  • Prepare and maintain weekly, monthly, and quarterly reports

  • Support strategic pricing and revenue analysis discussions by ensuring leadership has accurate data for decision-making

  • Support forecasting reviews by compiling and analyzing data to inform financial planning

4. Office Administration & Internal Support

  • Manage incoming calls, emails, and mail

  • Oversee office and IT supplies, copier contracts, and postage accounts

  • Support company events, outings, and internal communications

  • Manage web access portal & software downloads

Qualifications:

  • 1-2 year experience in business administration or accounting/finance

  • Familiarity with enterprise business systems

  • Strong Microsoft Office skills (especially Excel)

  • Effective analytical skills to sort, check and verify accounting figures

  • Strong organizational, time management, analytical, and communication skills

  • Extreme attention to detail

  • Expert problem solver

  • Good communication skills
