The Facilities Coordinator plays a crucial role in ensuring the efficient operation of our company's facilities and provides support to various departments within the organization. This role involves a combination of administrative, logistical, and operational responsibilities to maintain a safe, comfortable, and productive work environment.

Job Description

About the Role:

  • Maintenance and Repairs:
    - Provide general overall facility management services, including continuous monitoring of office/facility
    - Coordinate and oversee routine maintenance, repairs, and service requests for the facility
    - Work with external contractors and vendors for repairs and maintenance as needed
    - Ensure compliance with safety and building codes
  • Space Management:
    - Assist in the allocation and utilization of office space
    - Maintain floor plans and seating arrangements
    - Coordinate office relocation and renovations
  • Vendor Management:
    - Manage relationships with facility-related vendors, negotiate contracts, and ensure cost effectiveness
    - Monitor service level agreements and vendor performance
  • Inventory and Supplies:
    - Maintain inventory of office supplies and facilities-related equipment
    - Reorder supplies and coordinate deliveries as necessary
  • Security and Safety:
    - Implement security measures to protect company assets and employees.
    - Develop and update emergency procedures
  • Courier & delivery service:
    - Manage vendor to ensure parcels are delivered or received
    - Handle vendor payments
  • Utilities and Energy Efficiency:
    - Monitor and optimize utility usage to reduce costs and environmental impact
    - Implement energy-efficient initiatives when possible
  • Administrative Support:
    - Assist in managing facility budgets and expenses
    - Prepare reports and documentation related to facility operations
    - Coordinate meetings and events within the facility
  • Communication and Coordination:
    - Act as a liaison between departments and facility management
    - Address and resolve facility-related issues and concerns
  • General Office Tech Support:
    - Provide basic technical support to employees for office equipment, including printers, copiers, and audio-visual equipment
    - Assist with troubleshooting common IT issues, such as network connectivity problems or software installations
    - Liaise with the IT department for more complex technical issues

About You:

  • Bachelor's degree in Facilities Management, Business Administration, or a related field preferred
  • Previous experience in facilities coordination or a similar role is a plus
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office Suite and facility management software
  • Knowledge of safety regulations and building codes
  • Problem-solving skills and attention to detail
  • Ability to work independently and collaboratively in a team
