Facilities Operations Senior Associate

We are looking for Facilities Senior Associate to join our environment team. You are responsible for a wide range of support in Safety & Security, Access control, CCTV, Transportation, Travel desk and other general office related departments. Let’s talk about you.

You are a curious person who is great at identifying problems and seeing them through to resolution. You would have the ability to multi-task and prioritize tasks. Ability to navigate and use daily all Microsoft Office applications, particularly Outlook, Word, and Excel, PowerPoint etc.

The Team:

AHI Environment team is accountable for Day-to-day interface with Suppliers, Contractors, Operations & Office Maintenance for undertaking routine and adhoc activities. Facilities management such as Materials & Facilities, Information Security, Campus- wide Facilities, Electrical, Water, Equipments.  Collaborative approach, using strong influencing and negotiating skills with Internal/ External Main & Adhoc contractors/ vendors.

Job Responsibilities

The employee will be responsible for providing comprehensive support across multiple administrative and operational functions to ensure smooth and secure workplace operations. The key areas of responsibility include:

Safety and Security

  • Ensure that all safety and security protocols are implemented and followed within the premises.
  • Conduct routine checks to maintain compliance with safety standards and company policies.
  • Coordinate with the AHI team to handle incidents, emergency procedures, and safety drills.
  • Support in maintaining fire safety equipment and conducting awareness sessions for employees.

 2. Access Control

  • Manage and monitor employee and visitor access to the premises through the access card system.
  • Maintain accurate records of access card issuance, renewal, and deactivation.
  • Coordinate with IT and Security teams to resolve any access-related issues promptly.

 3. CCTV Monitoring and Maintenance

  • Oversee the functionality and maintenance of CCTV systems across the facility.
  • Coordinate with vendors or service providers for repairs, system upgrades, and preventive maintenance.
  • Ensure video surveillance is actively monitored, and recordings are maintained as per company policy.

Commute and Travel & Accommodation

  • Coordinate daily transport operations, including employee pick-up and drop arrangements.
  • Manage night shift employee transportation ensuring safety, timely pick-up/drop, and proper route planning.
  • Address employee transport-related queries or issues efficiently.
  • Act as a primary point of contact for arranging travel ticket bookings for employees (air/train), hotel accommodation domestically and internationally. 
  • Maintain travel records and support documentation for audits purposes.
  • Support in contract renewals, invoice verification, and issue resolution with vendors.
  • Coordinate with employees working in night shifts to ensure smooth transport and security arrangements.
  • Address employee concerns related to facilities, travel, or transport in a timely manner.
  • Collaborate with other departments for smooth operational support and cross-functional coordination.
  • Assist in planning and execution of any office events or employee engagement initiatives.

Typical Qualifications

  • Should be a Graduate with great communication skills
  • Experience of 8 to 10 years in Facility management
  • Flexibility to work shifts
  • Strong customer service orientation
  • Ability to multi-task and prioritize tasks
  • Proficiency in *MS Office Suite (Excel, Word, PowerPoint, Outlook)
  • Working knowledge of ticketing Tool (ServiceNow), also familiar with visitor Management Systems and Access Card Software.
  • Certification in Occupational Health and Safety (OHS) or Fire and Safety Management

  • Vendor management and negotiation capabilities.
  • Time management and multitasking under pressure.
  • Understanding of workplace safety and compliance requirements.
