We are currently seeking a highly motivated and detail-oriented individual to join our team as a Facilities Coordinator. As the Facilities Coordinator, you will be responsible for overseeing and managing the day-to-day operations of our office facility. You will work closely with various departments and vendors to ensure the smooth functioning of the facility and provide excellent service to our clients.
You will be the main point of contact on site for our global asset management client in Sydney CBD, the role will be 40 hours per week, 8:30 AM – 5:30 PM, Monday to Friday.
An overview of the role:
Support reception counter and manage mail/couriers
Handle external visitor management and organise meeting catering
Assist with internal visitor coordination including badges and desk allocation
Coordinate meeting room reservations and catering setup
Connect Teams and video conferences as required
Pack and unpack the dishwasher when required
Maintain premises in neat, working condition
Ensure pantry and printing rooms are adequately stocked
Provide administrative tasks and reporting as requested
Manage contractors to ensure performance meets required standards
Source vendors and issue purchase orders through procurement process
Ensure accurate purchase order management in client procurement/financial systems
Assist with financial processes including invoicing and payments
Provide remote operation support for Melbourne Office
Supervise the part time receptionist as well as oversee cleaning contractors

Previous experience in facilities coordination in a similar environment
Strong organisational and time management skills
Excellent communication and interpersonal abilities
Knowledge of facility operations and maintenance best practices
Ability to work independently and handle multiple tasks simultaneously
Proactive mindset and ability to think critically and problem-solve
Understanding of health and safety regulations
