Position Overview
We are seeking a dynamic Facilities Coordinator to serve as the primary liaison for facility operations, tenant relations, and workplace management. This role combines property management expertise with exceptional customer service to ensure seamless facility operations while representing JLL and our clients with professionalism and excellence in the local business community.
Key Responsibilities
Property & Tenant Management • Act as primary point of contact for all tenant inquiries, requests, and escalations • Build and maintain strong relationships with tenants and landlords where applicable • Ensure compliance with lease terms and legal requirements across the portfolio • Coordinate service visits with property management representatives and approved vendors • Drive high standards and consistency in lease requirement management • Monitor tenant satisfaction and proactively address concerns
Workplace Operations • Provide exceptional hospitality and support for guests, visitors, and employees • Resolve facility-related issues including janitorial services, conference room management, workstation support, and interior/exterior furnishings and equipment • Coordinate and schedule maintenance activities to meet defined Service Level Agreements (SLAs) • Collaborate with internal departments (IT, Security, Kitchen, Real Estate) to ensure high-quality project completion • Ensure facility compliance with local building, health, safety, and fire codes • Develop and implement operational procedures and standard operating practices • Identify and present monthly cost-saving opportunities and operational improvements
Vendor & Contract Management • Manage facility contracts as the client's designated managing agent • Coordinate vendor discussions regarding goal setting, performance criteria, and reviews • Maintain strong relationships with suppliers and service providers • Monitor service delivery quality and contractor performance
Administrative & Event Support • Coordinate special events for clients and JLL initiatives • Handle mail services including pickup, delivery, postage preparation, and courier coordination • Support various administrative tasks to ensure smooth daily operations • Assist with workplace technology integration and facility improvements
Client Relations & Business Development • Represent JLL and clients professionally in the local and regional business community • Promote JLL's reputation and capabilities to prospective tenants and clients • Lead efforts to monitor and enhance customer satisfaction • Serve as brand ambassador for facility management excellence
Experience & Education • Minimum 2 years of experience in facilities management, property management, or related field • Demonstrated experience in customer service and relationship management • Background in vendor management and contract coordination preferred
Technical Skills • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Experience with facility management systems and technologies • Interest in continuous improvement and emerging workplace technologies

Responsabilità Principali
Gestione Immobiliare e Inquilini • Fungere da punto di contatto principale per tutte le richieste, le richieste e le escalation degli inquilini • Costruire e mantenere rapporti solidi con inquilini e proprietari dove applicabile • Garantire la conformità con i termini del contratto di locazione e i requisiti legali in tutto il portafoglio • Coordinare le visite di servizio con rappresentanti della gestione immobiliare e fornitori approvati • Promuovere standard elevati e coerenza nella gestione dei requisiti di locazione • Monitorare la soddisfazione degli inquilini e affrontare proattivamente le preoccupazioni
Operazioni del Workplace • Fornire ospitalità eccezionale e supporto per ospiti, visitatori e dipendenti • Risolvere problemi relativi agli impianti inclusi servizi di pulizia, gestione sale conferenze, supporto postazioni di lavoro, e arredi/attrezzature interni/esterni • Coordinare e programmare attività di manutenzione per rispettare i Service Level Agreement (SLA) definiti • Collaborare con dipartimenti interni (IT, Sicurezza, Cucina, Real Estate) per garantire il completamento di progetti di alta qualità • Garantire la conformità degli impianti con i codici edilizi, sanitari, di sicurezza e antincendio locali • Sviluppare e implementare procedure operative e pratiche operative standard • Identificare e presentare opportunità mensili di risparmio sui costi e miglioramenti operativi
Gestione Fornitori e Contratti • Gestire i contratti degli impianti come agente di gestione designato dal cliente • Coordinare discussioni con fornitori riguardo impostazione obiettivi, criteri di performance e revisioni • Mantenere rapporti solidi con fornitori e prestatori di servizi • Monitorare la qualità dell'erogazione dei servizi e le performance dei contractor
Supporto Amministrativo ed Eventi • Coordinare eventi speciali per clienti e iniziative JLL • Gestire servizi postali inclusi ritiro, consegna, preparazione affrancatura e coordinamento corrieri • Supportare varie attività amministrative per garantire operazioni quotidiane fluide • Assistere con l'integrazione tecnologica del workplace e miglioramenti degli impianti
Relazioni Clienti e Sviluppo Business • Rappresentare JLL e clienti professionalmente nella comunità imprenditoriale locale e regionale • Promuovere la reputazione e le capacità di JLL a potenziali inquilini e clienti • Guidare gli sforzi per monitorare e migliorare la soddisfazione della clientela • Servire come ambasciatore del brand per l'eccellenza nella gestione degli impianti
Esperienza e Formazione • Minimo 2 anni di esperienza nella gestione degli impianti, gestione immobiliare o campo correlato • Esperienza dimostrata nel servizio clienti e gestione delle relazioni • Background nella gestione fornitori e coordinamento contratti preferibile
Competenze Tecniche • Competenza in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Esperienza con sistemi e tecnologie di gestione degli impianti • Interesse nel miglioramento continuo e nelle tecnologie emergenti del workplace
