Job Description Summary
The Executive Assistant will provide secretarial/administrative support directly to a Vice President or a Senior Vice President, exercising confidentiality, tact and diplomacy. Prepares correspondence, reports, presentations, agendas, minutes; may prepare responses to routine correspondence and inquiries. Receives, screens, and directs incoming calls, visitors, mail and email. Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses.Job Description
The Executive Assistant will:
Provide secretarial/administrative support directly to a Vice President or a Senior Vice President, exercising confidentiality, tact and diplomacy.
Maintain Executive's calendar as well as actively participating in setting up meetings for the executive and other team members
Provide office support to the department, including coordination of FedEx, messengers, faxes and check requests, expense reports and office supplies
Maintain the inventory of department materials, including either archiving or destroying outdated materials.
Create and updates documents, reports, presentations, and correspondence.
Order materials and through working with outside vendors and SRAlab Purchasing Department.
Assist Executive and other staff members with budgeting and expense management.
Process staff reimbursements with Accounts Payable.
May assist with the planning and coordination of events.
May submit department timecards.
Perform all other duties that may be assigned in the best interest of the Shirley Ryan AbilityLab including special projects assigned by the Executive.
Reporting Relationships:
Reports directly to the Chief Information Officer.
Knowledge, Skills & Abilities Required:
Bachelor's degree preferred.
Minimum 3 years of secretarial/administrative experience in a fast-paced office.
Able to exercise confidentiality, tact and diplomacy
Excellent interpersonal skills, demonstrating friendly and courteous customer service
Proficiency in Microsoft applications; including Word, Outlook, Excel and PowerPoint
Excellent typing ability
Strong organizational skills
Ability to manage multiple projects
Working Conditions:
Normal office environment with little or no exposure to dust or extreme temperature.
Pay and Benefits*:
Pay Range: $40,685.00 annually - $69,542.00 annually
