Job Summary

We are seeking a seasoned Executive Assistant to provide high-level administrative and operational support to our new CEO, who divides his time between Los Angeles, California and Norman, Oklahoma, where he teaches part of each month. This position requires a highly organized, discreet, and proactive professional who thrives in a dynamic, fast-paced environment and can manage complex scheduling, travel logistics, and confidential matters with precision and professionalism.

Key Responsibilities

  • Serve as the primary point of contact and gatekeeper for the CEO, managing a dynamic calendar, coordinating meetings, and anticipating needs.
  • Oversee extensive domestic travel arrangements, including flights, lodging, ground transportation, and itinerary management for bi-weekly travel between Los Angeles and Oklahoma.
  • Prepare and refine high-quality presentations, reports, and materials for executive meetings, university engagements, board updates, and investor communications.
  • Handle confidential correspondence, documentation, and information with the highest level of discretion and judgment.
  • Coordinate and liaise with internal executives, board members, external stakeholders, and university personnel to ensure smooth communication and alignment.
  • Track and manage action items, meeting follow-ups, and deliverables to ensure deadlines are consistently met.
  • Support special projects and strategic initiatives as directed by the CEO, exercising sound judgment and attention to detail.
  • Maintain a professional, composed, and service-oriented demeanor while balancing multiple priorities.

 Qualifications

  • Minimum of 4+ years of experience supporting C-level executives, ideally within a fast-paced corporate, academic, or hybrid environment.
  • Demonstrated ability to manage complex, multi-leg travel arrangements and changing schedules with precision and flexibility.
  • Advanced proficiency in PowerPoint, Keynote, and other presentation tools; strong document editing and formatting skills.
  • Exceptional written and verbal communication skills; confident drafting executive correspondence and materials.
  • High emotional intelligence, confidentiality, and professional presence when engaging with senior leadership and external partners.
  • Strong organizational, problem-solving, and anticipatory skills; able to stay two steps ahead in a rapidly changing environment.
  • Bachelor’s degree preferred.
  • Position is based in LA, with occasional travel as required.

Compensation and Culture

This is a full-time, exempt position offering a competitive salary and benefits package. The ideal candidate will be a trusted right-hand to the CEO—someone who is polished, reliable, and thrives in a leadership-support role where excellence, confidentiality, and adaptability are paramount.

The monthly salary range for this position is $6,667- $8,334, with an annualized equivalent of $80,000 - $100,000  

Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position.  The Company reserves the right to modify this pay range at any time.
