Position Information

The Executive Assistant II provides high-level administrative support to the Director of Texas A&M AgriLife Research, ensuring the efficient management of calendars, schedules, meetings, and engagements. This position helps ensure efficient operations and communication within AgriLife Research and across affiliated units. This role requires a high level of organization, discretion, and proactive coordination to manage critical functions, serving as a liaison between executives, internal teams, and external stakeholders, always maintaining confidentiality and professionalism.

Responsibilities:

Calendar & Schedule Coordination:

  • Manage complex executive calendars, including scheduling meetings, engagements, and appointments.

  • Coordinate logistics for internal and external meetings, including room bookings, virtual meeting links, attendee communications, parking, and catering.

  • Proactively resolve scheduling conflicts and prioritize competing demands.

  • Communicate priority items to Associate Directors and staff within the Director’s office

Project Coordination:

  • Track project milestones, deliverables, and deadlines using project management tools or spreadsheets.

  • Maintain the office pro-card and process purchases through Aggie Buy and Tech Buy.

  • Serve as the office’s primary contact for IT issues and coordinate solutions as needed.

  • Submit invoices and respond to business service inquiries related to processing.

  • Manage Ag People unit accounts, set up email for new employees, and handle offboarding as needed.

Administrative Support:

  • Prepare and edit correspondence, reports, and other documents.

  • Handle confidential information with discretion.

  • Plan and manage all aspects of the Director’s travel, including requests, bookings, and reporting. Assist with joint travel arrangements for Associate Directors as needed.

  • Serve as primary point of contact for off-campus center emergencies and weather-related issues.

  • Act as the liaison between the AgriLife Research Director’s office and affiliated units. Participate in regular meetings and provide updates on items pertinent to AgriLife Research.

Relationship Management:

  • Assist Executive Associate Director with planning Council of Resident Directors bi-monthly meetings.

  • Manage recruitment, scheduling, and assignments for student workers.

  • Foster positive and professional relationships on behalf of the executives.

Other Duties

  • Performs other duties as assigned.

Required Qualifications:

  • Bachelor's degree or equivalent combination of education and experience.

  • Minimum of 4 years supporting senior executives in a fast-paced environment or related administrative experience.

  • Knowledge of word processing, spreadsheet, and presentation applications.

  • Interpersonal and communication skills. Planning and organizational skills.

  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:

  • Bachelor's degree or higher preferred.

  • Advanced skills in Microsoft Outlook, especially calendar, Teams, Word, Excel, and PowerPoint. Familiarity with project management software and InfoReady is a plus.

  • Exceptional ability to manage multiple priorities, schedules, and deadlines with attention to detail.

  • Excellent verbal and written communication skills; ability to interact effectively with all levels of the organization.

  • Proactive and resourceful approach to resolving scheduling conflicts and project challenges.

  • Demonstrated ability to handle sensitive and confidential information with integrity.

  • Strong relationship-building skills; professionalism in all interactions.

  • Ability to work independently, prioritize tasks, take initiative, and manage time efficiently.

  • Experience in project coordination or project management.

  • Knowledge of executive office operations and protocols.

  • Ability to adapt quickly to changing priorities.

  • Strong judgment and decision-making abilities are important.

Salary: Compensation for this position is commensurate based on the selected candidate’s qualifications.

Other Requirements: Some after-hours work required. Travel connected with official duties may be required.
