We are seeking two highly capable Executive Assistants based in Amsterdam to support our Central Eastern Europe (CEE) Leaders, one reporting directly to the Marketing Director, the other reporting directly to our Supply Director. This role requires a self-sufficient, proactive professional with a strong ability to anticipate needs, deliver operational excellence, and contribute positively to our collaborative and inclusive culture. 

As a trusted partner to the CEE leadership team, you will manage core executive support activities while helping to connect global strategies with local market realities. You’ll play a key role in ensuring smooth operations, effective communication, and an energising team spirit across the region. 

Key Responsibilities 

  • Executive support: Effective diary management with an emphasis on anticipating needs and understanding priorities. 

  • Travel & logistics: Coordinate travel, visas, and accommodation for the leaders and their teams. 

  • Financial administration: Process Purchase Orders, invoices, and expenses accurately and on time via Concur, maintaining strong filing and reference systems. 

  • Meeting & event coordination: Plan and execute meetings, conferences, and internal/external events to ensure efficiency and quality delivery. 

  • Reporting & presentations: Prepare, collate, and coordinate business reports, presentations, and data packs. 

  • Operational problem-solving: Handle one-off and recurring administrative tasks, proactively resolving issues and implementing improvements. 

  • Project support: Manage and coordinate functional and cross-functional projects and administrative processes. 

  • Technology utilisation: Embrace and maximise tools and systems to drive efficiency and connectivity. 

  • Regional insight contribution: Provide relevant market perspectives from the Central Eastern Europe region to inform leadership discussions. 

About You 

  • Proven experience as an Executive Assistant or Team Assistant at senior leadership level. 

  • Comfortable working across multiple geographies and cultures. 

  • Proficient in systems such as Workday and Concur. 

  • Highly organised, proactive, and capable of anticipating needs while prioritising effectively. 

  • Demonstrates discretion, integrity, and confidentiality at all times. 

  • Strong relationship builder and communicator, both within administrative networks and across business teams. 

  • Able to manage competing demands, meet tight deadlines, and adapt quickly to change. 

  • Positive, solutions-focused, and eager to contribute to a collaborative, high-performing team environment.
