Executive Assistant

Bloomfield, CT Full time

We are seeking a highly organized, tech-savvy Executive Assistant to provide strategic and administrative support to the SVP of Pharmacy & Care Technology. This role blends traditional executive assistant responsibilities with light project management duties, working closely with the Chief of Staff to ensure seamless execution of priorities across the Pharmacy & Care Technology organization.

Key Responsibilities

  • Meeting and Calendar Planning:  Schedule and organize internal and external meetings including Webex and conference calls and handles any necessary logistics for outside guests.  Proactive logistical planning for a dynamic and demanding environment. Manage calendar system and look for opportunities to enhance efficiencies. Make last minute calendaring decisions based on priority and business needs using sound judgment. Advise of last-minute scheduling changes and communicate via e-mail, telephone and/or text message when appropriate

  • Staff Support/ Project Management:  Attend certain key meetings to record minutes, track takeaways, follow up on action items, and manage invitations for guest attendees.  Maintain department organization chart, email distribution lists and responsible for proactive follow up to ensure key deliverables are received in a timely manner.

  • Handle confidential communications and correspondence with discretion.

  • Provide all logistical support for seamless air/ground travel, including International, and timely expense submissions adhering to company policies

  • Productivity Support:  Secure help desk support as needed to trouble shoot/resolve key issues as they arise

Project Coordination

  • Partner with the Chief of Staff to track and follow up on key initiatives and deliverables.

  • Support project planning, milestone tracking, and status reporting for strategic efforts.

  • Coordinate cross-functional meetings and ensure timely documentation of action items.

  • Assist in preparing presentations and dashboards for leadership reviews.

  • Special Projects/Programs:  Manage team-wide projects/programs as needed, such as team-building events/ all hands meetings etc.

  • Help  orchestrate and execute one or two team offsites per year that may require travel

Operational Excellence

  • Maintain and improve organizational systems for document management, scheduling, and communications.

  • Identify opportunities to streamline workflows and enhance executive productivity.

  • Leverage digital tools (e.g., Microsoft 365, Teams, SharePoint, project tracking platforms) to support daily operations.

Qualifications

  • 5 years+ of experience supporting senior executives, ideally in a matrixed or enterprise environment.

  • Demonstrated ability to manage multiple priorities with precision and professionalism.

  • Strong proficiency in Microsoft Office Suite and collaboration tools.

  • Experience with basic project management practices and tools.

  • Exceptional written and verbal communication skills.

  • High level of discretion, judgment, and emotional intelligence.

Preferred Attributes

  • Familiarity with enterprise governance processes and executive-level reporting


If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.
