Job Summary: 

The Executive Assistant provides organized and detail-oriented executive support, including but not limited to managing calendars, scheduling travel arrangements, coordinating meetings and events, independently handling emails, data entry, expense report management, and other projects as assigned. Uses discretion and judgment to prioritize, follow up, and execute schedules and deliverables. May be involved in minute taking and the development or administration of policies and procedures. The Executive Assistant will support C-level executives end to end, as well as two additional leaders based on the East Coast and West Coast of the United States.

Responsibilities and Duties: 

  • The Executive Assistant will serve as a liaison to the Board of Directors and senior management teams; organize and coordinate executive outreach and external relations efforts, and oversee special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
  • Ability to develop strong relationships with senior management across functions and levels. Ability to interact with a mélange of cultures. Excellent ability to communicate complex issues simply and compellingly to successfully influence senior business leaders. Ability to establish a position of trust with senior leaders to provide interventions and counsel. Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
  • Serve as a liaison and extension of the executive team while providing superior customer service to handle and resolve complex requests and problems effectively. Apply confidentiality and sound decision-making when responding to internal and external stakeholders, escalating issues when necessary.
  • Interact with the Board of Directors, organizing and managing their agendas for company visits. Help coordinate the planning and logistics of Board meetings.
  • Leverage technology and tools to assist in delivering business initiatives and daily administrative support more efficiently. Compile data and prepare presentations, spreadsheets, documents, and reports for management.
  • Handle strategic meeting calendars, ensuring timing and logistical details are in place to maximize the C-level executive’s efforts while acting as a liaison on their behalf
  • Create agendas for meetings, join meetings with the C-level executive and direct reports where appropriate, take notes, and draft meeting recaps, including decisions, action items, and due dates.
  • Simultaneously manage multiple projects by capturing all items in Excel or similar productivity tools. Provide regular and proactive updates on progress to the C-level executive.
  • Organize and prioritize critical issues and required information for the C-level executive and direct where appropriate to facilitate efficient decision-making and implementation.

 
Qualifications and Skills:

  • Minimum 10 years of experience as an Executive Assistant or similar role.
  • Proven experience working with U.S.-based executives in global or multinational environments.
  • Strong experience arranging travel (domestic and international).
  • Excellent organizational skills and high attention to detail.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Concur for expense management.
  • Exceptional written and verbal communication skills in English.
  • Demonstrated ability to handle confidential information with discretion.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Availability to work according to East Coast(US hours).
