MAJOR RESPONSIBILITIES
- Supports the equipment planning team for each phase and deliverable of the equipment planning process, including budgeting, equipment list development, existing equipment inventory, user meetings, equipment buyout, equipment deployment, and activation support.
- Aids planners with equipment list updates in the equipment planning software, inclusive of minor equipment changes, phasing, responsibility, and quantity changes.
- Enters Capital and Operating project requisitions for medical equipment per current Advocate Health policy and procedure. Files copies of quotes, emails, and PO’s in the project folder. Updates the equipment planning software with requisition, PO, and receipt information.
- Tracks equipment buyout progress and budget and provides project updates and weekly team meetings.
- Expedites equipment in conjunction with the project schedule. Escalates project risks to Equipment Planner and aids in remediation plan.
- In conjunction with contracted 3PL’s, reconcile receipt reports and receive PO’s in Advocate Health’s ERP.
- Schedules equipment deliveries and installation on behalf of the project team in accordance to the project schedule.
- Facilities annual review of standard room templates with Equipment Planners and Sourcing Managers to ensure accuracy of Advocate Health approved equipment. Makes update to templates in the equipment planning software.
- Serves as an ERP super user, including supporting enterprise level requisitioner (phone/email), assisting in team member onboarding, and providing team training.
MINIMUM EDUCATION AND EXPERIENCE REQUIRED
License/Registration/Certification Required: None Required
Education Required: Bachelor’s Degree preferred
Experience Required: Typically requires 3 years of project management, supply chain management, clinical operation
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Excellent communication and organizational skills.
- Strong problem solving skills and ability to manage large volumes of projects.
- Ability to prioritize and multi-task.
- PC Skills with strong working knowledge of Microsoft Office and Attainia Software / 4 Tower.
- Self-directed and independent decision-making capabilities.
- Ability to work in a fast-paced environment with established time constraints.
- Flexibility to deal with a changing environment.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
- This position requires limited regional travel, therefore, will be exposed to weather and road conditions.
- Operates all equipment necessary to perform the job.
- Exposed to a normal office environment.
