Director of Intake – Home Care (Massachusetts)

Location: Massachusetts (Hybrid/Remote with regional travel)

We’re seeking a dynamic Director of Intake to lead the Home Care Intake Operations for the State of Massachusetts. This strategic leadership role is responsible for managing the statewide intake function, ensuring the timely and accurate processing of referrals, admissions, and service authorizations across all offices. You’ll oversee multiple teams, develop operational strategies, ensure compliance with payer and program requirements, and partner with executive leadership to drive efficiency and excellence in patient onboarding.

As Director of Intake, You Will:

  • Lead and oversee all intake operations across the state of Massachusetts, ensuring timely and compliant referral processing and admissions.

  • Develop and implement standardized procedures and workflows that align with Elara Caring’s operational and quality standards.

  • Supervise and mentor Intake Supervisors and staff, fostering a culture of collaboration, accountability, and continuous improvement.

  • Analyze and monitor key performance metrics, identifying trends and implementing strategies to improve conversion rates, timeliness, and customer satisfaction.

  • Partner with internal stakeholders—including Clinical Operations, Sales, and Business Development—to streamline referral pathways and support growth initiatives.

  • Ensure compliance with payer requirements, state regulations, and company policies related to home care admissions and authorizations.

  • Provide leadership support during audits and process evaluations.

  • Serve as a subject matter expert on intake systems, data tracking, and payer processes.

  • Represent the Intake function in leadership meetings and collaborate on strategic planning for PCS operations.

  • Uphold Elara Caring’s mission, values, and standards of excellence in every aspect of leadership and decision-making.
     

What is Required:

  • Education: Bachelor’s degree in Business, Healthcare Administration, or related field required; Master’s degree preferred.

  • Experience: Minimum of 3–5 years of progressive leadership experience in home care, healthcare intake, or admissions management; multi-site or regional oversight strongly preferred.

  • Skills:

  • Deep understanding of Medicare, Medicaid, Managed Care (MCO/MLTC), and payer authorization processes.

  • Exceptional leadership, communication, and analytical skills.

  • Demonstrated success in process improvement and operational efficiency initiatives.

  • Proficiency in Microsoft Office Suite and data management platforms.

  • Ability to coach, mentor, and inspire multidisciplinary teams.

  • Transportation: Reliable vehicle, valid driver’s license, and current auto insurance.

  • Travel: Statewide travel as needed to support field offices and operational reviews.
     

You will report to the Regional Vice President of Business Operations.
