The University of Louisville is seeking to hire a Department Coordinator III. The Department Coordinator serves as a primary point of contact between Belknap Campus Health Services and student patients and provides coordination assistance and support to colleagues. This position oversees the Freshman Immunization Compliance Program, ensuring all first-time freshman students at the University meet immunization requirements. The Department Coordinator addresses patient concerns and responds to questions regarding clinic policies and procedures. This position’s key responsibilities include managing the immunization database, reviewing submitted documentation for accuracy, verifying lab results, and ensuring all records are uploaded accurately to patient charts.
The Department Coordinator also assists the Senior Manager and Director with various administrative tasks as assigned, maintaining a strong focus on the delivery of exceptional customer service, strict patient confidentiality, and promoting a professional environment within the clinic’s front office.
Essential Duties and Responsibilities
Regulates the compliance tracking and reports for the First-time Freshman Immunization Program requirements and ensures University compliance for immunization and database upkeep for all students on the Belknap Campus
Serves as a point of contact to address student concerns or questions regarding immunization and other Campus Health Services policies and procedures
Establishes, models, and maintains the highest standards of quality and customer service, patient privacy, and professionalism
Coordinates and monitors front desk operations, maintaining quality assurance and operational efficiency
Assists with front desk operations including, but not limited to, scheduling appointments, running KASPER reports, completing daily billing tickets, and other essential daily clinical duties
Provides training and acts as a mentor for front office employees to ensure excellent customer service
Attends and presents at campus outreach events
Assists with HSC Immunization Compliance Program and OSHA-mandated N95 respirator testing for health science professional students as necessary
Completes other duties as assigned
Preferred Qualifications
Associate or bachelor’s degree related to the medical field
Experience in a medical work environment
Proficient using Microsoft Office programs, particularly Excel
Excellent communication skills
Work Hours and Location
This is a full-time, non-exempt position with a 40-hour regular workweek. Additional work hours may be required based on department needs, programming, staffing, and/or scheduling. The primary work location for this position is at the Belknap Campus.
