Job description:

Overall Job Purpose (brief description of this job)

  • The primary elements are to process and expedite materials.
  • Manages meetings between engineering and commercial groups
  • Acts as a focal point for acquisition, scheduling and distribution of materials, supplies and service requisitions.
  • Enters materials, tools, equipment … making requests via Pronto and confirming delivery dates.
  • Communicates the order and delivery status, typically by setting various material status/flags throughout the work order cycle in the Computerized Maintenance Management System (Pronto).
  • Communicates both ways any potential changes in material specifications between supplier and requestor and initiates system updates as appropriate.
  • Shares and raises awareness of material reorder potentials whether for stock or non-stock items
  • Co-ordinates major materials staging for major shutdowns
  • Facilitates liner/equipment improvements in conjunction with Reliability and Business Improvement Teams
  • Reviews best practice equipment/material storage and co-ordinates with warehouse to improve storage life and quality
  • Facilitates min/max reviews with operational teams and Commercial

Specific Job Responsibility

The specific tasks to be performed by the position holder will include;

  • Enters materials, tools, equipment requests via pronto and confirms delivery date.
  • Communicates the order and delivery status, typically by setting various material status/flags throughout the work order cycle in pronto.
  • Communicates both ways any potential changes in material specifications between supplier and requestor and initiates system updates as appropriate.
  • Shares and raises awareness of Maintenance spares to maintenance for stock or non-stock item coding.
  • Forwards non-Stock items to Preventive and Predictive Maintenance team for inventory addition.
  • Coordinates the disposition of all surplus material for planning and maintenance team for review, feedback to warehouse for appropriate actions.
  • Monitors/tracks materials, tools and equipment orders upon receipt.
  • May provide requisitioning support for requirements outside of maintenance: operation supplies, projects, etc.
  • Arranges materials, tools and equipment in a manner, that it can be identified and picked up according to job needs.
  • Gather information and input into the appropriate maintenance measures/ Key Performance Indicators such as abnormal cost of rush delivery, receipt backlog, material delays.
  • Communicate vendor performance to procurement services.
  • Liaise with long term planning team for major plant outage material requirements and follow up.
  • Utilizes and influences Site Sourcing Guide (Maintenance representative for procurement).
  • Uses class/codes to obtain contract pricing, where available.
  • Works closely with procurement, cataloguing, planning, scheduling and work coordination to provide seamless execution of the work process.
  • Tracks progress versus required delivery date until receipt and expedites when progress is behind schedule.
  • Follows-up as focal point on all issues with material, orders, delays.
  • Periodically reviews material status report tools to assure on-time delivery including refurbishment items.
  • Requisitioning of off-site resources depending on organizational design and role availability.
  • Supports Work Activity Coordinating & Maintenance Planning in sending unused material back to warehouse and/or vendor.
  • Uses metrics to measure Material Coordination tasks and develops action to improve the process.

Contribute to the management of Health and Safety by;

  • Contributing to the identification of the significant Health and safety risks of the plant.
  • Ensuring that health and safety training is completed as required.
  • Ensuring that incidents related to health, safety or the environment are reported and assist in investigations to identify any additional controls required.
  • Attend regular safety meetings
  • Actively promote continuous improvement in safety performance throughout the workforce.
  • Material safety data sheet for all chemicals in use to be collected, placed where appropriate and ensure they are up to date.

Experience required to perform in this job

  • At least 5 years’ maintenance engineering experience in the mining/mineral processing industry or 10 Years Supervisory experience.
  • Demonstrate high level of skills in utilizing the approved maintenance information systems
  • Utilize procurement business rules
  • Full Working knowledge of appropriate Computerized Maintenance Management System (pronto) transaction codes.
  • Demonstrate high level of material knowledge
  • Demonstrate proficiency in warehouse system
  • Comply to requested service level
  • Follow the procurement work process
  • Implement the disposition process summary report
  • Create rebuild/repair process summary report
  • Complete return verification report (itemized cost sheet of credits)
  • Knowledge of appropriate standards, protocols, and systems.
  • Microsoft Office knowledge and skills (Word, Excel, PowerPoint, etc.)
  • Demonstrated skill in verbal and written communications, planning and organizing

Qualifications

  • Bachelor’s degree in mechanical or electrical engineering or a related field. A master's degree will be a plus.
  • A grade 12 school certificate.

  • Registered as a member of the Engineering Institute of Zambia (EIZ).

  • All relevant qualifications must be certified by Zambia Qualifications Authority (ZAQA).
