DEPARTMENT SUMMARY: The Clinical Education Department is a system-wide support service that provides education, clinical practice support, and professional development opportunities for nursing, allied health, medical staff, and community partners at St. Charles Health System.
This integrated department delivers services across multiple domains, including:
POSITION OVERVIEW: The Clinical Education Coordinator provides administrative and operational support for the Clinical Education department. Key responsibilities include supporting continuing education and certification classes, coordinating clinical orientation and other educational programs, and serving as the primary point of contact for incoming education requests. The coordinator additionally assists with training videography, scholarship and contract facilitation with partnering institutions, and contributes to the creation and distribution of the department newsletter.
This position does not directly manage any other caregivers.
ESSENTIAL FUNCTIONS AND DUTIES:
Maintains department documentation such as dashboards, project schedules, issue logs, task lists, organizational charts, and call lists. Use appropriate methods and systems to support all areas of Clinical Education.
Maintains electronic schedules including coordinating internal and external departmental and project team meetings.
Develops, publishes, and disseminates agendas and meeting minutes.
Proactively identifies potential administrative problems and identifies possible solutions, creates documentation, templates, prepares reports, and analyzes data to resolve problems.
Facilitates the contract process for Clinical Education from initiation through completion, including new and renewal agreements with educational institutions and vendors. Maintains awareness of contract types (e.g., Affiliation Agreements, Program Letter Agreements) and collaborates closely with Clinical Education’s Legal Partner(s) to ensure accuracy and compliance. Demonstrates proficiency with sContracts to support contract management and tracking.
Provides administrative support for Clinical Education scholarships, including assisting leaders with the Foundant platform, eligibility review processes, and tracking of scholarship awards and payments.
Communicates promptly and consistently with internal and external stakeholders—using both verbal and digital channels—to report progress and address any barriers to tasks or projects.
Maintains the Clinical Education internal website with relevant tools and templates.
Supports accounts receivable/account payable activities.
Provides hands-on, technical, and administrative support for Clinical Education programs, classes, and other initiatives.
Gathers data for internal and external audiences that demonstrate program, project, and initiative ROI, and communicates findings clearly in both written and verbal formats.
Supports knowledge capture upon completion of projects (i.e., identifies learnings, builds/revises templates) in collaboration with specialists from that area.
Supports the execution of a master communications calendar for all Clinical Education-related communications.
Maintains Clinical Education equipment. Orders supplies for programs and classes.
Performs videography functions to create training videos.
Supports the vision, mission and values of the organization in all respects.

EDUCATION:
Required: Bachelor’s degree in healthcare administration, business, or related field, or equivalent professional experience enabling full performance of the position.

EXPERIENCE:
Required: Minimum three (3) years’ experience in administration and support.
Preferred: Five (5) years’ administrative experience. Experience with learning management systems and website design. Knowledge of LEAN principles. Healthcare operations experience with proven ability to manage multiple projects, meet timelines and escalate effectively to meet project goals. Experience with varying exposure to strategy and project management.
