Common Core Cluster Operations and Admin Centre (CC COAC) provides essential operational and administrative support to two schools: the School of Mathematics and Science (MS) and the School of Life Skills and Communication (LSC).

MS offers programmes that empower students and adult learners to excel in mathematics, analytics, statistics, sciences, and IT across engineering, technology, and business disciplines.

LSC anchors the Common Core Curriculum and foundational modules undertaken by all SP students.

The incumbent will be part of the CC COAC team, delivering critical administrative support across various functions for both MS and LSC at the cluster level. This role requires close collaboration with staff at all levels and engagement with external stakeholders.

[What you will be working on]

  • Provide end-to-end support for academic and administrative functions, working closely with key stakeholders such as SAS Representatives, Course Management Teams (CMT), Module Coordinators (MC), and Timetable Representatives (TT) to ensure seamless operations.

  • Administer the Student Administration System (SAS) for academic activities, including curriculum setup, student registration, course structures, module catalogues, assessment weightages, examination processes, and invigilation arrangements.

  • Perform offline screening for Poly-Wide Electives using Excel-based data tools.

  • Generate, analyse, and validate data to support academic processes. Prepare clear and concise reports, including Excel dashboards, to support pre- and post-examination activities.

  • Maintain and manage data dashboards, ensuring accuracy, consistency, and timely updates.

  • Apply knowledge of SP Academic Business Rules to streamline manual workflows and enhance efficiency through digital tools such as SharePoint, Excel automation, and dashboards.

  • Drive improvements in operational best practices and the use of educational technology.

  • Serve as the primary point of contact for Polytechnic Foundation Programme (PFP) students, coordinating onboarding, handling enquiries, and managing leave of absence and CCA point requests.

  • Plan and execute student engagement initiatives such as events, surveys, and communications with class leaders and student chapters to enrich the PFP experience.

  • Support general office administration, including maintaining student records, preparing internal reports, managing documentation, booking facilities, and printing test papers.

[What we are looking for]

  • 4–8 years of relevant experience in systems administration, programme operations, or academic support.

  • Strong organisational and coordination skills with keen attention to detail and follow-through.

  • Excellent interpersonal, verbal, and written communication skills.

  • Self-motivated, independent, and a collaborative team player with event planning capabilities.

  • Ability to manage multiple priorities in a dynamic environment, with flexibility for changing schedules and occasional after-hours support.

  • Proactive in identifying workflow improvements and supporting digital transformation initiatives.

  • Proficient in Microsoft Excel (including formulas and pivot tables), SharePoint, Microsoft Teams, and data visualisation tools (e.g., Power BI).

  • Familiarity with survey tools, data visualisation platforms, and basic scripting or automation is a plus.

  • Experience with student management systems and academic processes is advantageous.

Candidates will be assessed on their proficiency in Microsoft Excel during the interview.

Successful applicant will be offered a 2-year contract in the first instance.
