Position Summary:

The Administrative Specialist is a role in the division of Diversity Affairs that is responsible for providing administrative support for the Department of Belonging and Reconciliation. The position will play a key role in ensuring smooth day-to-day operations, logistical support for events and programming, and serve as a trusted point of contact both internally and externally. In addition, this position will assist Belonging and Reconciliation staff with projects as needed and also support the development of the Four Corners Bridging Institute (FCBI) within the division of Diversity Affairs.

The Administrative Specialist will be a member of both the Belonging and Reconciliation teams and contribute to Diversity Affairs overarching work.

Job Description:

Essential Functions and Responsibilities: 

Departmental Administrative Support 

  • Responsible for providing administrative support for Belonging and Reconciliation staff. This includes utilizing Workday and other IT systems to support budget processes in Workday

  • Process expenditures and other fiscal processes for both departments and maintain departmental budget documentation and generate quarterly budgetary reports in collaboration with the Executive Assistant to the VP of Diversity Affairs.

  • Maintains departmental calendars and organizes room scheduling, catering, invitations, and other logistical support for all programming activities in both Belonging and Reconciliation departments

  • Attend and participate in coordination and documentation of departmental meetings

  • Maintain administrative systems for the Four Corners Bridging Institute (FCBI), including purchasing, budget coordination, and website oversight, in alignment with college policies. 

  • Support search committees within both departments with administrative tasks related to hiring committees and onboarding of new employees

  • Arrange by telephone, electronic mail, Microsoft Outlook and/or campus mail, meetings for committees according to available schedules; reserve rooms and special equipment as needed. 

  • Answer shared department email, furnish individual information, directions, and advice to callers that might include students, visitors, faculty, and staff. 

  • Position also makes copies, types various documents for staff, utilizing Microsoft Word and office equipment. 

  • Maintains office equipment and supplies, arranges maintenance on various machines. 

  • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508. 

  • Produces and remediates digitally accessible materials in accordance with FLC standards. 

  • Perform other duties as assigned 

Required Education, Specialized Skills and Experience: 

  • Two or more years of administrative assistant experience in an office setting or a combination of higher education and administrative assistant experience 

Preferred Education, Specialized Skills and Experience: 

  • Strong collaboration, communication and organizational skills 

  • Experience working with a diverse group of individuals, specifically Indigenous communities 

 

Report to / Supervisory Responsibility: 

This position reports to the Director of Reconciliation and the Director of Belonging 

Travel: 

Approximately 5% of employees' responsibilities will include travel.  

FLSA Status/ Position Type/Expected Hours of Work 

  • Non-Exempt 

  • Full Time – 1.0 FTE 

  • Temporary- Fixed Term, grant funded through 6/2028

Salary

The hourly rate range is $19.95 to $21.88 per hour, plus a comprehensive benefits package
