About This Opportunity

We are seeking a kind, motivated, and organised Administration and Engagement Assistant to support the effective and efficient delivery of the Doctor of Medicine (MD) Program within the MD Learning Hub (MDLH) at our St Lucia campus.

Reporting to the Senior Administration Officer, you will provide vital administrative and coordination support to ensure the smooth operation of the Hub. This includes maintaining inventory levels, managing data entry, handling student enquiries, and contributing to the day-to-day activities that underpin an exceptional learning experience for our students. In this role, you’ll be part of a collaborative and supportive team dedicated to excellence in medical education and student engagement.

Key responsibilities will include: 

  • Provide administrative support across all years of the Doctor of Medicine (MD) Program, including addressing reception duties, responding to student enquiries, teaching room setup, equipment and inventory management, data updates, exam preparation, timetable coordination, and student allocations.

  • Liaise and collaborate with internal and external stakeholders to ensure smooth delivery of teaching, assessments, and operations within the Medical School.

  • Support the planning, organisation, and delivery of engagement activities, events, meetings, and teaching sessions.

  • Contribute to continuous improvement initiatives to enhance the efficiency and effectiveness of the MD Learning Hub and undertake other duties as required.

About You  

You will bring strong administrative, coordination and communication skills, with the ability to prioritise tasks, meet deadlines and contribute positively to a collaborative team environment.

  • Relevant work experience, especially in a higher education institution or similar environment

  • Excellent verbal and written communication skills

  • Demonstrated skills in providing a high level of customer service, including effective interpersonal skills

  • Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook and Teams)

  • Willing and able to quickly learn to utilise new technologies and systems in line with given procedures.

  • Compassionate and caring about student wellbeing

  • Effective organisational, time management and problem-solving skills

The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia, criminal check.
